What are the responsibilities and job description for the Administrative Assistant - PT Days -Telephone Triage position at The Children's Hospital of Alabama?
Telephone Triage department has a PT, .5, 20 hours per week position. Hours can be 8a - Noon or 9a - 1p.
Summary
Responsible for providing secretarial/assistant support to the department Director and staff.
- Compose written communication including letters, forms, memos and on-call schedules.
- Prepare check requisitions for both departments and obtain needed signatures and support documentation to ensure timely payment through Accounting.
- Maintains accurate records of expenditures and receipts for all aspects of department. Deposit checks as needed.
- Prepare daily, weekend and holiday physician on-call schedules.
- Prepare excel graph sheet to reflect previous weekend’s call numbers.
- Order and maintain necessary supplies/materials for both departments. Maintain filing system for correspondence and documents.
- Handle all shipping and mailing for all departments within the division.
- Answer all telephone lines and document messages when appropriate. Receives and sends information requested from patients, nurses, physicians, pediatric &family practice offices.
- Provide individual support to both Directors and staff for travel arrangements, educational programs &materials, preparation of reports and other requests as needed.
- Assist in preparation of the RPCC Annual Report for outside agencies. Perform other duties as assigned by Telephone Triage and/or RPCC Director and/or her designee(s).
Requirements
High school diploma or equivalent and three years of administrative/clerical experience, preferably in a healthcare setting.
Schedule: M-F 8a-noon or 9a-1p, Day Shift, Monday-Friday Standard Days
