The Children’s Center is seeking a detail‑oriented, flexible Operations Support Specialist to support daily operations, oversee CACFP compliance, coordinate volunteers, and provide front desk coverage. This role is essential to ensuring a safe, welcoming, and well‑run environment for children, families, and staff.
Summary
The Operations Support Specialist plays a key role in maintaining the efficiency, safety, and welcoming atmosphere of our center. This position oversees CACFP program administration, coordinates classroom volunteers, provides front desk support, and serves as the building closer. You’ll collaborate closely with teachers, kitchen staff, volunteers, and leadership to keep our operations running smoothly every day.
Key ResponsibilitiesCACFP Program Administration
- Complete monthly and annual CACFP reporting in partnership with the Operations Administrator.
- Train teachers on CACFP policies and procedures.
- Maintain program eligibility, documentation, and compliance with state and federal regulations.
- Communicate regulatory updates and provide required forms and reports to classrooms.
- Support kitchen staff to ensure nutritional standards are met and assist with meal service as needed.
- Ensure infant classrooms receive appropriate food and supplies.
Front Desk & Administrative Support
- Serve as a back‑up first point of contact for parents, guests, and vendors.
- Answer calls, provide information, and assist with registration and paperwork.
- Maintain secure access to classrooms and uphold confidentiality standards.
- Provide professional, friendly support to families, staff, Trustees, and volunteers.
- Serve as the responsible person for nightly building closure.
Volunteer Coordination
- Lead volunteer engagement, including introductions, orientation, and onboarding.
- Act as the primary liaison between volunteers and classroom teachers.
- Provide ongoing communication, recognition, and support to ensure a positive volunteer experience.
Classroom & Childcare Support
- Provide classroom assistance as needed.
- Help maintain a nurturing, safe, and positive environment for all children.
- Promote strong communication and teamwork across departments.
What We’re Looking For
- Minimum 2 years of administrative or customer service experience.
- Experience in childcare or early childhood settings preferred.
- Proficiency in Microsoft Office; experience with systems like ProCare is a plus.
- Strong organizational, communication, and multitasking skills.
- Ability to learn and apply CACFP and early childhood regulations.
- Experience managing volunteers is a plus.
- Associate’s degree in administrative services preferred.
