DUTIES AND RESPONSIBILITIES:
- Opening and Closing of the office.
- Manage client communication: May be responsible for communicating with clients, answering their questions, and ensuring their needs are met.
- Review scheduled appointments and relevant calendars, remaining conscious of upcoming meetings in office or deadlines of RFEs and NOIDs.
- Scanning application packets, uploading to client portal, regular runs to USPS or UPS to pick up mail.
- Taking payments (cash, Money Order, Check, and LawPay).
- Process mail by scanning in and uploading to DropBox.
- Light cleaning and organizing of commonly used areas of the office, seating area, and conference rooms. ( Please note we have housekeeping already so you will not be doing that).
- Provide general administrative support, such as ordering supplies, managing office equipment, and handling other administrative tasks.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
- Maintain confidentiality of all sensitive information and documents.
- Perform other duties as assigned by Manager or Managing Attorney.
- Provides administrative support to ensure efficient operation of the office.
- Carries administrative duties such as filing, copying, binding, scanning, etc.
- Exhibits polite and professional communication via phone, e-mail, and mail.
- Supports the team by performing tasks related to organization and strong communication.
- Contributes to team effort by accomplishing related results as needed.
- Professional dressing and demeanor as the front face of our office.
- Comfortable with social media, as we show our audience on (Facebook, Instagram, YouTube, TikTok, Twitter, etc) sneak- peeks of our back-office, such as a day in the life at CLF, client results, in-office client visits/testimonials, etc.
REQUIREMENTS:
- Great verbal and written communication skills in English; ( in Preferred, but not required)
- Associate Diploma or equivalent
- Microsoft Office: 1 year (Preferred)
- Customer Service: 1 year (Preferred)
- 1 -3 years of similar experience (preferred)
- Reliable
- Accurate
- Detail oriented
- Ability to maintain confidentiality
- Strong work ethic and problem solving skills
- Experience utilizing MS Word, Excel, and Google products
- A Positive outlook and personality are a plus.
Physical Demands
This employee is frequently required to stand, walk, and sit. They will also engage in bending, stretching, reaching, and other ranges of motion in the course of a working day. While performing the duties of this position, the employee is regularly required to see, talk and hear.
