About Us
We are a high-performing real estate team serving buyers and sellers throughout Rockland County, New York. The team is led by a husband-and-wife partnership — supported by showing agents and office staff.
We are growing and are looking for a highly organized, proactive Executive Assistant to work directly with the team leads and help ensure that nothing falls through the cracks.
This is not a clock-in, clock-out role. We are looking for someone who takes pride in their work, anticipates needs, and genuinely wants to make an impact — both internally and with our clients.
The Role
This position is primarily focused on supporting one of the team leads in an executive assistant capacity, while also assisting with broader office needs as necessary.
The ideal candidate is extremely organized, detail-oriented, reliable, and proactive, with experience supporting an executive, owner, or small business leader.
Key Responsibilities
- Manage daily schedules, calendars, reminders, and priorities
- Track and manage call lists, follow-ups, and client touchpoints
- Ensure leads are logged, updated, and followed through in the CRM
- Proactively identify who should be contacted and when
- Monitor important dates (birthdays, home anniversaries, milestones, gifting)
- Prepare reminders and prompts for client outreach and relationship building
- Assist with gifting coordination and follow-up
- Help ensure clients receive timely updates and communication
- Support office operations and assist the administrative team as needed
- Act as a second set of eyes to catch gaps, missed tasks, or upcoming needs

Requirements
- Prior experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable with CRMs, calendars, email, and task management systems
- Must be able to commute to the office (this is an in-office role)

Pay: $ $33.00 per hour
