Coordinator for Worship, Liturgy, and Music

The Chapel of the Cross, a parish of the Episcopal Church in Chapel Hill, NC, seeks a full-time Coordinator for Worship, Liturgy, and Music, who, under the direction of the Director of Music and Organist, will coordinate the logistics of the parish’s liturgical and musical life.


Liturgy and worship sit at the heart of our church’s weekly rhythm, with our music program being one of the primary ways our community seeks to praise God and form disciples of all ages. We have upwards of five Sunday services that welcome an average of 400 parishioners and which we achieve with the help of 50 volunteers each week. Our music program consists of 60 adult singers, 40 choristers ages four through eighteen, and a dozen volunteers who meet for weekly rehearsals and sing at our primary Sunday services. In addition, we have dozens of other special services throughout the year, such as choral evensongs, holiday services, funerals, and more, all of which require additional preparation and support.


Collaborating with clergy and other staff, the Coordinator for Worship, Liturgy and Music will play a key role in ensuring the smooth planning and implementation of the abovementioned (from preparation, to coordinating volunteers, to day-of support), and in doing so help the whole community to more fully worship God.


LITURGY/WORSHIP:

• Attend principal Sunday services to support liturgical volunteers, assist them and clergy in the preparation and execution of the service, and gap-filling when necessary; attend additional special services as needed.

• Recruiting, scheduling, and managing all liturgical volunteers including but not limited to: readers, acolytes, acolyte advisors, ushers, altar guild, livestream techs, lay eucharistic ministers

• Coordinate trainings for liturgical volunteers in consultation with the Associate Rector

• Scheduling and coordinating monthly retirement home services at three facilities.

• Create bulletins for all services (Sundays, special events, funerals, weddings, etc.)

• Assist with clergy service scheduling.

• Maintain Electronic service register.

• Produce all certificates for liturgical services (e.g. baptisms, confirmations).

• Coordinate all altar flower donations and requests for Sundays, funerals, and weddings.

• Train as a wedding coordinator to serve at weddings

• Use the church’s Ministry Scheduler, Facility Scheduler, COTC Connect, ACS database,

and other tools to coordinate worship events and volunteers.


MUSIC:

• Communicate weekly via email with members of the adult choir and parents/guardians of

the children’s and youth choirs; answer queries from newcomers and participants.

• Keep the music program’s calendar, including the rehearsal and service schedules.

• Coordinate RSVPs and create participation lists for 4 weekday rehearsals and 2-3 Sunday services.

• Attend and coordinate children’s and youth choir rehearsals on Tuesdays.

• Oversee the music library and its use. Order, number, and file copies of sheet music; distribute music to folders of children and youth choristers each week; oversee volunteers who distribute music for the adult choir; refile music after use.

• Manage choir vestments.

• Anticipate and address the program’s needs.

• Oversee volunteers who serve as a part of the music ministry.


REQUIRED SKILLS AND EXPERIENCE:

• Excellent organizational skills and attention to detail.

• Experience in an administrative position or extensive internship experience.

• Ability to treat confidential information with care; seeks assistance of others for help in dealing with pastoral issues.

• Excellent interpersonal and communications skills and the ability to welcome and interact positively with a large, multi-generational community.

• Excellent computer skills and knowledge of Microsoft office suite and desktop publishing software; willingness to learn ACS, ministry scheduler, facility scheduler, and Mail Chimp. Investigate and recommend new software programs as appropriate.

• Ability to focus on the task at hand while dealing with interruptions and juggling changing assignments.

• Willingness to take on new assignments and to seek out training opportunities; ability to connect the dots between the many moving parts of an active and historic parish.


DESIRED SKILLS AND EXPERIENCE:

• Experience and comfort operating within a religious organization.

• Musical experience, especially choral experience, is a plus.

• Three to five years’ experience, preferably in a church, non-profit organization or educational institution.

• Bachelor’s degree.


POSITION STATUS:

• Full Time, Regular, Exempt, part of Administrative Staff.

• Normal work schedule: Sunday-Thursday.

• This role may be filled by a member of the parish.
