Program Coordinator – Substance Use & Addiction Services

At The Centers, meaningful work is grounded in a culture where people feel valued. As a 2026 USA TODAY Top Workplaces winner, the organization is nationally recognized, based entirely on employee feedback, for trust, purpose, and care. This position plays an important role in advancing our mission and supporting the communities we serve.

About The Centers

At The Centers, we believe that every person deserves access to compassionate, high-quality care — no matter where they are on their journey. We are a community-anchored health organization committed to integrating physical, behavioral, and addiction services to meet people where they are. Our Substance Use and Addiction Services team works on the front lines of the overdose crisis, serving some of our community's most vulnerable neighbors with dignity, urgency, and heart.

Why This Role Matters

This is not a typical administrative coordinator role. As the Program Coordinator for Substance Use and Addiction Services, you will be the operational backbone of a complex, multi-program team — including our WinMAT walk-in medication-assisted treatment clinic, SUD Counseling services (individual, IOP, and PHP), Overdose and Infectious Disease Prevention (OIDP), and SUD Peer Support programs.

Our patients often arrive in crisis. Many don't have phones. Real-time schedule visibility and seamless care coordination aren't just operational priorities — they are patient safety imperatives. Your work will directly impact whether someone gets the care they need today.

What You'll Do

Scheduling & Calendar Management

You will maintain and update shared calendars for counselors, nurses, and providers across multiple sites, including opening and closing WinMAT provider and RN templates with as little as two days' notice. You will also partner with the Program Manager of OIDP to maintain scheduling for peer specialists, outreach workers, and volunteers, and support the coordination of trainees and volunteers across services.

Team & Workflow Support

You will serve as the primary administrative liaison between clinical teams and operational leadership — attending Integrated Team meetings to provide operational insight, supporting the implementation of workflow updates, and following through on action items. You will also assist OIDP leadership with harm reduction supply distribution from our Uptown location to other Centers sites and community partner locations.

Patient-Facing Responsibilities

You will provide front-desk coverage for SUD counseling services during group hours, managing check-ins, forms, insurance verification, and patient flow. You will maintain a waitlist for SUD counseling assessments to ensure unfilled or cancelled slots are promptly filled. You will manage a centralized phone line for patient inquiries related to OIDP, SUD counseling, and WinMAT — registering and scheduling patients as needed, including those referred by community partners.

A critical part of this role is helping patients navigate transitions in care — from WinMAT into longitudinal primary and psychiatric services — and assisting with prior authorizations for SUD counseling, including PHP. You will also provide backup support for centralized services including Medicaid enrollment, presumptive eligibility, Uber ride scheduling, document scanning, and appointment reminder calls.

What We're Looking For

Education

An Associate's degree in Healthcare Administration, Public Health, Social Services, or a related field is preferred. Equivalent experience will be considered.

Experience

We are looking for candidates with a minimum of 2 years of administrative experience in a healthcare, behavioral health, or community-based setting, including demonstrated experience with scheduling, care coordination, or multi-site program support. Proficiency with EMR systems is required — EPIC experience is strongly preferred.

Experience supporting SUD, mental health, or integrated care programs is a significant plus, as is familiarity with prior authorizations, insurance verification, and documentation workflows.

Skills & Attributes That Will Set You Apart

  • You thrive in fast-paced, walk-in-heavy environments and can manage competing priorities without losing your footing.
  • You are exceptionally organized, with strong time management skills and high attention to detail.
  • You communicate clearly and professionally — in writing and in person — across clinical, operational, and patient-facing settings.
  • You bring strong customer service instincts and a genuine commitment to patient engagement.
  • You are a collaborative team player who can support multidisciplinary teams with reliability and care.

A Note on Candidate Experience

We are committed to making our hiring process as welcoming as the care we provide. We will communicate with every candidate, whether or not they move forward in the process, and we encourage you to bring your whole self — and your full range of experience — to your application.

Our Commitment to Equity

The Centers is an equal opportunity employer. We are committed to building a team that reflects the communities we serve. We welcome applicants from all backgrounds and lived experiences — including those with personal experience in recovery.

How to Apply

To apply, please submit your resume and a brief cover letter describing your experience with care coordination or administrative support in a healthcare or behavioral health setting. Applications are reviewed on a rolling basis.

The Centers is an Equal Opportunity Employer and all qualified applicants will receive consideration for employment without regard to age, race, color, religion, sex, sexual orientation, gender identity or expression, national origin, disability status, protected veteran status, or any other characteristic protected by law.
