Job Title: Receptionist Per-Diem Location: Main office

Position Summary
The Administrative Assistant reports to the Office Manager and assist with the day-to-day operations of an office.
Key Responsibilities
- Answer and direct phone calls.
- Greet incoming visitors and follow office protocols.
- Organize and schedule appointments.
- Professionally distribute mail and packages.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Order and oversee office supplies including food deliveries for group meetings.
- Maintaining an organize and clean office environment
- Prepare, organize and process files to go to offsite storage
- Other assigned duties

- Attention to Detail: Ensures accuracy in scheduling, documentation, filing systems, and report preparation. Carefully reviews correspondence, records, and office materials to maintain high standards of quality, consistency, and confidentiality.
- Organizational Skills: Effectively manages multiple administrative tasks including appointments, filing, supply ordering, and offsite storage preparation. Maintains an orderly, efficient office environment that supports daily operations and workflow continuity.
- Communication Skills: Communicates professionally and clearly when answering phone calls, greeting visitors, and distributing information. Uses strong written and verbal skills to support internal communication, reports, and correspondence.
- Interpersonal Skills: Builds positive working relationships with staff, visitors, vendors, and management. Demonstrates professionalism, courtesy, and respect in all interactions while representing the office appropriately.
- Time Management and Prioritization: Prioritizes tasks effectively to meet deadlines while managing interruptions and competing demands. Adjusts schedules and workload as needed to support office operations.
- Confidentiality: Handles sensitive information with discretion and care. Ensures records, personnel information, and office communications are protected and shared only as appropriate.
- Independence and Initiative: Works independently with minimal supervision while identifying opportunities to improve efficiency and organization. Takes initiative in addressing office needs and supporting the Office Manager.
- Technology and Systems Proficiency: Utilizes MS Word, Excel, HRIS, and database systems to manage records, reports, and administrative processes. Learns and adapts to new systems as required.
- Collaboration and Teamwork: Works cooperatively with colleagues to support departmental and organizational goals. Contributes to a positive office culture and assists with shared responsibilities as needed.
Work Environment and Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must frequently lift and/or move up to 40 pounds.
Qualifications
Qualifications and Requirements
- High School or AA Degree and interest in the social science field preferred.
- 2 years’ experience as an Administrative Assistant
- Knowledge of MS Word, Excel, and database systems.
Pay Range
USD $17.00 - USD $17.00 /Hr.Salary : $17
