Salary: $66,300 annually The Onboarding Specialist is responsible for leading full cycle onboarding for new hires from post offer through start date, ensuring a smooth, compliant, and welcoming experience for employees joining The Center for Family Support, Inc. This role plays a critical operational and candidate experience function, partnering closely with Talent Acquisition, People & Culture, Staff Development, HR Business Partners, and Payroll.The ideal candidate is highly organized, detail oriented, collaborative, and experienced in onboarding within a regulated human services or healthcare environment.

Responsibilities
Onboarding & Compliance
- Manage and oversee end‑to‑end onboarding processes from signed offer letter through successful completion of all pre‑employment requirements and first‑day readiness.
- Utilize the Paycom onboarding portal to complete new hire entry, onboarding workflows, documentation, and task tracking.
- Ensure all required pre‑employment checks are completed accurately and timely, including:
- New York State Justice Center checks through OPWDD
- Staff Exclusion List (SEL)
- Fingerprinting / Criminal Background Check (CBC)
- Statewide Central Register (SCR)
- Mental Hygiene Law (MHL) checks
- Reference checks
- TB screening and other health clearances as required
- DMV Abstract as required
- Malpractice Insurance as required
- Monitor onboarding progress and proactively follow up on missing or outstanding items to avoid delays in start dates.
Tracking, Reporting & Metrics
- Track and report on time‑to‑hire metrics, specifically from signed offer letter to completion of all pre‑new employment orientation requirements.
- Maintain accurate onboarding records and status reporting within Paycom, internal tracking tools, and dashboard.
- Identify onboarding bottlenecks and recommend process improvements to increase efficiency and candidate experience.
Orientation & Employee Experience
- Partner with the Staff Development team to prepare for and host biweekly New Employee Orientation (NEO), including logistics, materials, and day‑of coordination.
- Support a warm and engaging onboarding experience that reflects CFS’s mission, values, and commitment to our workforce.
- Conduct stay interviews and exit interviews, documenting themes and sharing insights with People & Culture leadership.
Cross‑Functional Partnership
- Collaborate closely with VP of Attraction and Engagement, Recruiters, the Talent Acquisition Coordinator, and other Onboarding Specialists in a team‑based environment.
- Keep recruiters and hiring managers informed of new hire onboarding progress, start‑date readiness, and first‑week instructions.
- Partner with the People & Culture team on internal engagement initiatives, including: Employee Recognition Luncheons and New Hire Welcome Breakfasts and other staff events.
- Manage employee recognition processes including EOM and others.
- Assist HR Business Partners and Payroll with HR components of biweekly payroll, including new hire setup, audits, and issue resolution as needed.
- Occasional travel to other CFS program locations is required to support onboarding, orientation, or operational needs.
Qualifications
Required
- Associate’s degree required; bachelor’s degree preferred.
- 2–4 years of experience in onboarding, HR operations, or talent acquisition—preferably in human services, healthcare, or a highly regulated environment.
- Working knowledge of New York State pre‑employment requirements (Justice Center, OPWDD, SCR, CBC, etc.) or demonstrated ability to learn quickly.
- Experience working in an HRIS or onboarding system (Paycom experience strongly preferred).
- Strong organizational skills with the ability to manage multiple hires simultaneously and meet deadlines.
- Clear, professional written and verbal communication skills.
Preferred
- Experience supporting high‑volume hiring or multi‑site operations.
- Comfort working cross‑functionally with recruiters, HRBPs, payroll, and training teams.
- Demonstrated commitment to inclusive, candidate‑centered onboarding practices.
