The Office Manager serves as the welcoming face and organizational hub of the school. This position supports the daily operations of the school office by providing excellent customer service to students, parents, faculty, and visitors while ensuring efficient management of records, communication, and administrative tasks. The Office Manager upholds the mission and values of Catholic education and contributes to a positive, faith-filled school environment.
Essential Responsibilities
Front Office Operations
Greet and assist visitors, parents, students, and staff in a professional and welcoming manner.
Answer and direct incoming phone calls and respond to general inquiries.
Monitor and manage visitor check-in procedures and school security protocols.
Serve as the primary point of contact for day-to-day office communications.
Student Support
Assist students with daily needs, including illness, forgotten items, classroom messages, and other concerns.
Maintain student attendance records and assist with student sign-in/sign-out procedures.
Support faculty and administration in addressing student needs throughout the school day.
Administrative Support
Maintain accurate student and school records, both digital and paper.
Collect, organize, and track required forms, permissions, health records, and other important documentation.
Follow up with families to obtain missing paperwork and ensure compliance with school requirements.
Assist with preparation of correspondence, newsletters, reports, and school communications.
Support enrollment, registration, and other administrative processes as assigned.
Ensure office supplies are stocked and inventory is maintained.
Keep the school office, storage areas, and supply closets clean, organized, and functional.
Manage incoming and outgoing mail and deliveries.
Level 2 Fingerprinting and Safe Environment Classes are required.
