Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
- Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff members
- Support bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar tools
- Provide exceptional customer support by responding promptly to inquiries via phone or email, ensuring client communication is clear and friendly
- Handle clerical tasks such as proofreading documents, word processing, and managing office supplies to keep the workspace efficient and well-stocked
Qualifications
- Proven experience in an office environment with strong office management and administrative skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Strong computer literacy including typing speed, proofreading abilities, and technical proficiency in productivity software
- Exceptional phone etiquette and experience managing multi-line phone systems in a professional manner
- Bilingual abilities are a plus to enhance client communication and team collaboration
- Previous experience as a receptionist, personal assistant, or medical/dental receptionist is highly desirable
- Demonstrated ability to handle confidential information discreetly while maintaining high levels of accuracy and efficiency
