Job Duties/Responsibilities:
- Manage various company calendars
- Assist technical directors in numerous event and expense related tasks
- Work directly with clients to ensure show details are captured and recorded
- Prepare quotes, drawings and other show related documents
- Schedule technicians and serve as the main point of contact for all show related details
- Manage all travel, hotel and lodging arrangements for technicians and staff
- Communicate with various vendors to book labor and rent equipment
- Coordinate trucking logistics for applicable shows
- Prepare show advances, ensuring all details are communicated accordingly
- Input and maintain accurate show expenses
- Create and distribute show binders
- Travel to larger shows when required, acting as the onsite Production Assistant to the Technical Director and Event Producer
- Act as onsite point of contact to venue & vendors when at events
- Serve as point of contact to clients while team is onsite at events
- Manage company’s project management software
- Organize and track company merchandise
- Maintain Google Drive, ensuring all show related documents are properly filed
- Assist in the management and up-keeping of the office and office supplies
- Various other tasks as needed
The Production Coordinator will work on a wide variety of projects including pre/post live event operations and the detailed logistics of putting on a live event. They will work daily with our production, warehouse and office teams and will need to possess excellent cross team communication & project management skills. They will also be working consistently with MS Suite & Google Suite. CAD knowledge is a plus. The Production Coordinator will work with vendors, technicians, drivers and staff to assist The Catalyst Companies in putting on world class events. This is a full-time position, available immediately. The Production Coordinator will work predominantly in our Chatsworth, CA office, reporting to our Technical Director.
Qualifications and Requirements:
- Meticulously organized and detail-oriented
- Exceptionally strong verbal and written communication skills
- Ability to communicate effectively on a day-to-day basis with clients, vendors and staff
- Strong time management skillset
- Expense tracking and management skills (accounting experience considered an asset)
- Fully knowledgeable in MS office suite (Word, Outlook, Excel and PowerPoint), Google Suite (Google Drive, Google Sheets and Google Docs) and Apple Suite (iCal, Keynote and Apple email)
- Experience with Expensify, Monday.com, Flex and Concur
- Proactive and self-motivated, with a strong desire to learn and develop skills in the live production industry
- Self-starter and ability to work independently or as part of a team
- Professional presence and demeanor
- General knowledge of the industry and production components
- Ability to commute daily to the Chatsworth, CA area
- Some travel required
