What are the responsibilities and job description for the Front Desk & Wellness Associate position at The Care Collective?
Front Desk & Wellness Associate (Professional-Level Role)
The Care Collective is raising the bar for wellness in the High Country, and we’re seeking experienced Front Desk & Wellness Associates. Applicants must have prior experience in hospitality, wellness, or other customer-facing roles, strong organizational skills, and a proven record of reliability.
This is not an entry-level position; attention to detail and a commitment to maintaining high standards are essential. You’ll balance precision, warmth, and initiative every single shift.
May 2026 Updates: We’re especially interested in candidates who have experience in retail management, advanced scheduling, CRM maintenance, client relations, and sauna or facility operations. Candidates must have relevant work experience in a prior field. Please read the full job description to help determine fit.
What You’ll Do
Own the Client Experience
- Manage a full appointment calendar—schedule, confirm, and adjust bookings throughout the day to keep sessions running smoothly.
- Welcome 20 clients per shift—greet by name, check in, answer questions, and ensure each feels cared for.
- Process payments and retail sales quickly and accurately.
- Confidently recommend add-on services or products when appropriate, aligning suggestions with client goals.
Maintain an Impeccable Space
- Keep the facility spotless—always guest-ready and detail-oriented, not just tidy.
- Reset rooms between sessions with efficiency and care.
- Monitor and restock supplies to prevent shortages.
- Take ownership of front-of-house presentation to ensure the space matches our high standards.
Lead Sauna Operations
- Prepare sauna sessions to exact standards, ensuring safety, cleanliness, and consistency.
- Educate clients on sauna benefits and best practices with clarity and confidence.
- Perform daily maintenance tasks for our Clearlight infrared sauna, including cleaning protocols and operational checks.
- Troubleshoot minor technical issues calmly and competently; escalate concerns appropriately when needed.
- Maintain strict sanitation standards and monitor equipment performance to ensure optimal function.
Coordinate in Real Time
- Coordinate with 10 practitioners to manage room changes, schedule adjustments, and client requests.
- Anticipate issues and communicate clearly to keep operations running smoothly.
What We’re Looking For
Established Professionalism
- Applicants must have prior experience in hospitality, wellness, medical, spa, boutique fitness, or another high-touch client service environment. Experience in a management or supervisory role is preferred.
- You understand that details matter — and you don’t cut corners.
- You are comfortable taking responsibility for both client experience and operational standards.
Operational Competence
- You must be highly organized, systems-minded, and able to manage multiple moving parts simultaneously. Strong time management is essential.
- Technically capable and comfortable learning equipment systems and troubleshooting when necessary.
- You take initiative rather than waiting to be told what needs to be done.
Exceptional Customer Service
- Communicate with warmth, clarity, and emotional intelligence.
- You remain calm under pressure and handle challenges with maturity.
- You know how to create an experience — not just complete a transaction.
Team-Oriented Mindset
- You want to contribute to a strong, positive team culture.
- You value accountability, collaboration, and professional growth.
