Job Summary
We are seeking a highly organized and dynamic Event Operations Coordinator to oversee the planning, execution, and management of Luxury Car and Motorsport events. This role requires a proactive individual with strong communication and organizational skills to ensure seamless event experiences. The ideal candidate will have experience in event marketing, hospitality, and guest services, with a focus on delivering exceptional customer satisfaction. The Event Operations Coordinator will collaborate with vendors, clients, and internal teams to coordinate logistics, manage budgets, and ensure all event details are executed flawlessly.
Duties
- Coordinate all aspects of event planning including venue selection, catering, contracts, and vendor negotiations.
- Develop and implement marketing strategies to promote events and increase attendance through effective event marketing techniques.
- Manage event budgets, track expenses, and oversee cost control measures.
- Upsell additional services such as catering packages or premium features to enhance guest experience.
- Oversee event setup and breakdown, ensuring all logistics are executed according to plan.
- Communicate effectively with clients, vendors, and team members to ensure clarity of expectations and deliverables.
- Provide exceptional guest services during events, addressing any issues promptly to maintain high satisfaction levels.
- Manage time efficiently to meet deadlines for event preparations and post-event evaluations.
- Maintain detailed documentation including contracts, schedules, and budgets for each event.
- Ensure compliance with safety standards and hotel or venue policies during all phases of event management.
Qualifications
- Proven experience in event planning, hospitality, banquet management, or related fields such as restaurant or hotel experience.
- Strong negotiation skills with vendors and clients to secure favorable terms.
- Excellent marketing skills with the ability to promote events effectively.
- Experience in upselling services to maximize revenue opportunities.
- Knowledge of event management software and tools for organization and scheduling.
- Exceptional communication skills—both verbal and written—to liaise with diverse stakeholders.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Background in fundraising or guest services is a plus.
- Ability to manage budgets accurately while maintaining high-quality service standards.
