Job Summary
The C3 Group is seeking a highly organized and detail-oriented Editorial & Publications Coordinator to provide editorial and administrative support for a quarterly academic journal published in support of a Department of War client.
This full-time, on-site position at Ft. Belvoir, Virginia requires the ability to manage multiple tasks under tight publication deadlines while maintaining exceptional attention to detail. The ideal candidate is a strong communicator, proactive self-starter, and capable of working independently within a structured, deadline-driven academic publishing environment.
This role focuses heavily on proofreading, publication coordination, article tracking, peer-review administration, formatting, and editorial support. Key ResponsibilitiesEditorial & Publication Support
- Receive and process new article submissions in coordination with the Managing Editor
- Ensure submissions comply with contributor guidelines and include all required files
- Track articles throughout the editorial lifecycle while maintaining adherence to publication deadlines
- Coordinate edits among multiple editors and consolidate revisions
- Prepare finalized articles for handoff to graphic design for layout, printing, and distribution
- Review print and digital layouts against original source documents to ensure accuracy and prevent introduction of errors
- Proofread materials for grammar, punctuation, spelling, clarity, formatting, and compliance with established style guidelines including APA style
Administrative & Communication Support
- Coordinate a double-blind peer review process for empirical research article submissions
- Maintain and update author databases and electronic filing systems
- Establish, organize, and archive publication files using approved database management systems
- Maintain author and stakeholder mailing lists and ensure contact information remains current
- Transcribe interview recordings in preparation for editing and publication
- Provide weekly status reports to the Managing Editor regarding article progress
- Prepare and coordinate mass mailings and assist with publication distribution
- Coordinate professionally with senior Department of War personnel, faculty, academic partners, and industry representatives
- Pick up and/or deliver print publications as required
- Maintain professional, diplomatic communication with all stakeholders and clients
Required Qualifications
- Strong proofreading, editing, and written communication skills
- Familiarity with APA style formatting or academic style guidelines
- Strong organizational and time-management abilities
- Ability to manage multiple deadlines simultaneously
- Experience using Microsoft Word, Outlook, and Excel
- Ability to work independently and maintain attention to detail in a deadline-driven environment
- Ability to work full-time on-site at Ft. Belvoir, Virginia
Preferred Qualifications
- Experience supporting academic publishing, editorial workflows, or peer-review processes
- Experience transcribing interviews or recordings
- Familiarity with Department of Defense or federal environments
Pay: $46,000.00 - $54,000.00 per year
