Job Description Summary:

The Licensing Support Specialist is responsible for providing essential administrative and technical support to Client Licensing Consultants, clients, and other TBOSC team members. This role involves assisting with the processing of license applications, policies and procedures, and survey preparation, ensuring compliance with State regulations. The ideal candidate will possess strong organizational skills, attention to detail, and communication skills, as well as a thorough understanding of relevant licensing procedures.

Job Description Summary

The Client Licensing Success Consultant is responsible for overseeing the licensing success of assigned home care owners throughout the United States. This role serves as the primary strategic advisor and consultant to clients navigating the state licensure process.

The Consultant works directly with clients to provide guidance, accountability, and problem-solving support to ensure successful license acquisition while delivering an exceptional client experience. This role also supports business growth through client relationship management, sales participation, compliance oversight, and continuous operational improvement initiatives.

The ideal candidate is a high-energy, detail-oriented professional with strong communication skills, consultative abilities, and a passion for working one-on-one with entrepreneurs in the senior care industry.


Essential Job Responsibilities:

Responsibilities of the Licensing Consultant under the agency’s name include, but are not limited to the following:

Client Communication:

  • Conduct weekly meetings with assigned clients to guide them through the state licensure process;
  • Build and maintain strong working relationships with clients to foster trust, accountability, and an exceptional customer service experience;
  • Prepare, review, and discuss state licensure checklists, action items, and timelines with clients;
  • Follow up consistently with clients to ensure completion of licensing requirements and continued progress toward licensure approval;
  • Identify, troubleshoot, and help resolve obstacles or deficiencies that may delay the licensing process;
  • Communicate effectively with clients and TBOSC team members regarding project updates, licensing status, and client needs;
  • Ensure clients receive accurate and timely information regarding licensing procedures, state requirements, and compliance expectations;
  • Serve as the primary point of contact for assigned client accounts throughout the licensing process.

Application Processing:

  • Facilitate support team and clients in completing and submitting necessary applications and maintaining required or supporting documentation for licensure; 
  • Read and understand State regulations to ensure accurate processing of applications;
  • Read, review, and address application deficiencies to expedite the licensing process;
  • Conduct follow-up with clients to ensure completion of necessary documentation;
  • Coordinate with other team members to resolve issues and ensure timely processing of applications;
  • Stay up to date with evolving state regulations, licensing requirements, and industry best practices to ensure ongoing compliance;
  • Conduct audits and reviews of policies, procedures, and licensing documentation to ensure regulatory accuracy;
  • Review and audit licensure checklists to ensure completeness and compliance standards are met;
  • Provide feedback and recommendations to improve the client experience and licensing workflow processes;
  • Assist in the development, maintenance, and implementation of licensing procedures and operational guidelines;
  • Maintain accurate and up-to-date records, files, and licensing documentation.

Administrative Tasks:

  • Collaborate with cross-functional teams to implement new policies, procedures, and workflow improvements effectively;
  • Assist in the creation and organization of client dashboards, shared drives, and internal systems;
  • Provide training and support to team members and clients regarding updated procedures and operational processes;
  • Utilize and maintain proficiency in company-approved collaboration and productivity platforms including Google Workspace, Slack, Airtable, and CRM systems;
  • Ensure effective communication among all persons on the organizational chart;
  • Establish and maintain positive liaison relationship with the agency and outside organizations relevant to the agency;
  • Must be available during TBOSC business hours established by Mountain Standard Time (MST).

  • Strong proficiency in Google Workspace (Gmail, Google Docs, Google Sheets), Microsoft Office Suite, Slack, Airtable, and other virtual collaboration platforms;
  • Ability to track licensing documentation, timelines, and compliance-related deliverables.


Qualifications:

  • Bachelor’s degree preferred;
  • 2 years of experience in account or project management, customer success, consulting, or related fields;
  • Demonstrated experience within the senior care, home care, healthcare, or related industries preferred;
  • Experience working in a metrics-driven and performance-oriented environment;
  • Proven ability to manage multiple clients, deadlines, and priorities simultaneously;
  • Experience demonstrating the ability to exercise independent judgment and discretion with matters of significance.


Working Conditions

Contact with clients in a virtual manner or indirect forms of communication. Travel may be required. Primary workspace conducted remotely.


Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer
