Summary
The VP, Director of Branch Administration is responsible for overseeing branch administrative functions and operational consistency across the bank’s markets while overseeing the day-to-day operations and management of the Vermont Financial Services Center.
This role ensures efficient branch operations, strong internal controls, and consistent processes across multiple markets while working closely with retail leadership, commercial lenders, treasury management, and operations staff to deliver excellent customer service and support customer acquisition efforts.
The position plays a key role in enhancing operational efficiency, maintaining regulatory compliance, and supporting the bank’s growth objectives.
Essential Duties
Branch Administration
- Oversee administrative and operational support for all branch locations across the Bank’s markets.
- Develop and maintain standardized branch operating procedures and ensure consistent implementation across locations, in conjunction with the Operations, Compliance, and Sales departments.
- Monitor branch metrics and identify opportunities for process improvement.
- Support Branch Managers across markets with operational issues, policy interpretation, and procedural guidance.
- Ensure adherence to internal controls, security protocols, and operational risk management practices.
- Coordinate operational support for branch openings, relocations, and expansions.
- Work collaboratively with lending, compliance, and technology departments to enhance systems and workflows.
- Assist with implementation of operational initiatives, system enhancements, and policy updates.
- Provide guidance and training to branch staff on procedures and best practices.
- Support internal and external audit and regulatory requests and examinations.
Financial Services Center Management
- Manage all aspects of the Branch within the Bank’s VT Financial Services Center, including but not limited to the processing of a variety of financial transactions (check cashing, withdrawals, deposits, loan payments, wire transfers), account opening and servicing, ordering checks and Debit Cards, and assisting commercial loan customers.
- Assist customers with use of the Bank’s deposit account opening and online banking applications utilizing several technology platforms.
- Prepare and maintain account paperwork, including but not limited to signature cards, loan documents, and transfer requests.
- Be responsible for the vault and daily cash management, including settlements of cash and proof transactions, branch currency levels, and currency shipments and deliveries.
- Lead the Branch Staff, including building a cohesive, engaged team; coordinating schedules for adequate staff coverage; empowering team members to provide excellent customer service; and providing training and identifying areas for improvement as needed.
- Monitor supply levels, process supply orders as needed, and manage supply organization throughout the Financial Services Center.
- Develop and maintain all policies and procedures related to branch activities, transaction processing, account opening, account closure, etc.
- Maintain current knowledge and consistent compliance with Bank Secrecy Act (BSA) requirements, all banking regulations, and all Bank policies and procedures related to the position.
- Provide efficient and courteous customer service, researching problems and implementing appropriate resolution. Identify cross-sell and referral opportunities to deepen customer banking relationships.
- Collaborate with internal departments (e.g., Operations, Compliance, etc.) to ensure seamless customer service and support.
- Support the Bank’s relationship with the community by building relationships with businesses and local organizations, enhancing the Bank’s visibility within the VT market.
- Support business development for the Bank, particularly with personal customers and small businesses.
- Assist with other projects as assigned.
Supervisory Responsibility
The VP, Director of Branch Administration is responsible for the supervision of one or more employee(s), and the incumbent is required to provide leadership, training, and guidance to less experienced department personnel. The incumbent in this position will fulfill supervisory responsibilities in accordance with the Bank's policies and applicable laws, ensuring adherence to EEO guidelines.
Qualifications
- Bachelor’s degree in Business Administration, Finance, or related field preferred.
- 5–10 years of experience in banking operations, branch administration, or loan administration.
- Experience working with commercial lending processes.
- Prior supervisory or multi-branch operational experience is highly desirable.
- Strong understanding of bank operations and branch procedures.
- Excellent organizational and project management skills.
- Ability to manage multiple priorities across departments and locations.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
