In response to today’s mental health landscape, the Center is re-imagining its core work as the transformation of mental health care through the design, development, and dissemination of mental health programs and services at the intersection of systems. While our outpatient clinic cares primarily for children and adults in Brookline and neighboring communities, much of the Center’s work extends beyond Brookline and has a statewide, regional, and national impact.

POSITION SUMMARY

The Administrative Coordinator is a client facing position that also provides administrative support to the Center’s administrative and clinical staff. Administrative support includes, but is not limited to, client registration, patient calls and inquiries, and reception coverage.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Send and track new client registration paperwork.
  • Coordinate release of medical records in collaboration with clinical leadership.
  • Register new clients in electronic health record.
  • Interacting with clients to obtain outcome measures.
  • Update information, including insurance coverage, and client demographics in electronic health record.
  • Complete room scheduling and room assignments for clinicians.
  • Manage distribution of electronic faxes.
  • Request and post client payments.
  • Manage informational inquiries from clients and clinicians.
  • Coordinate and track client record archives.
  • Sort and distribute mail.
  • Participate and provide support in administrative initiatives and projects as required.
  • Complete all tasks in a timely manner.

EDUCATION and/or EXPERIENCE

  • Highschool diploma or GED equivalent
  • Experience working in a medical or behavioral health setting preferred, but not required

QUALIFICATIONS

  • Works effectively in a culture of collaboration, continuous learning, and commitment to providing excellent care to all members of our community. 
  • Excellent interpersonal and organizational skills.
  • Attention to detail and ability to multitask in a fast-paced work environment.
  • Desire to work collaboratively with Administrative Department team members.
  • Knowledge of electronic medical records, Microsoft Office, and general comfort level with online platforms.
  • Committed to working with individuals with a variety of identities, experiences, and perspectives.
  • Ability to work 8am-12pm on most Saturdays
  • Able to work on-site.
  • Bilingual abilities are highly desirable.

Salary and Hours

Salary range: $24-$25/per hour

Placement within this range will depend on factors including the candidate’s relevant experience, demonstrated skills, alignment with the role’s responsibilities, and internal equity. While the posted range represents our good-faith expectation of compensation for this position, the actual salary offered may fall toward the lower end of the range for individuals who are still developing skills or experience aligned with the role's full scope.

Hours:

This is a part-time (8 hours/month) on-site position on Saturday mornings.
