Job Summary
We are seeking an experienced and dedicated Property Manager to oversee the daily operations of our commercial properties. The ideal candidate will have a strong background in property management, tenant relations, contract implementation, operating budgets, financial reporting, and administrative functions, while providing exceptional customer service to tenants and clients.
This role requires a proactive approach to maintenance, leasing, and legal compliance, with a focus on fostering positive tenant relationships and maximizing property value and occupancy.
General Responsibilities
A. Lease Administration
- Liaison between landlord and tenants
- Tenant calls, complaints and maintenance requests
- Interpret and administer tenant leases and questions
B. Budgets
- Preparation for all Common Area Maintenance (CAM) and operating budgets, collecting contracts, organizing competitor estimates
- Recommendations for capital expenditures
- Financial budget reporting and analyze budget variances
- Approval all property invoices weekly, proper coding & bill backs
C. Inspections
1. Oversee all the maintenance and physically conduct inspections
- Common Area Maintenance Inspections
- Operating inspections
- Lighting, Vacant and Roofing inspections
- Tenant Kitchen / Restaurant Inspections
2. Administer all lock-outs for all defaulted tenants
3. Perform all move-out inspections for all vacants to determine costs
4. Meet all tenants when they open for business – Turn Over Spaces
5. Construction projects including demo projects
D. Work Orders and Contracts
- Prepare specification requirements for property maintenance
- Contract vendors and schedule annual projects
- Evaluate contracts and cost saving strategies
- Emergency, remodeling, preventative maintenance, annual projects and escrow scheduled projects
E. General Duties
- Tenant project coordinator including build-outs & construction plan approval
- Property maintenance assigned projects & annual schedule
- Inspect property issues, emergencies or damage Insurance claims
- Contractor schedules for spring & summer projects
- Evaluation of cost reduction opportunities
- Annual mortgage property inspections as needed
- Annual insurance inspections as needed
- Bi-Annual kitchen / restaurant Inspections
- Addresses and resolves tenant issues and complaints
- Meet contractors on site for various estimates and projects
- Ensure that there is 24-hour emergency coverage
- Preventative maintenance policies
- Enforce annual planning calendar projects
- Monthly out of town property inspections & vacant inspections
- Property renovations including painting and façade upgrades
- Pylon sign maintenance and signage
Qualifications
- 5 years direct commercial property management experience
- Effectively prioritize and multi-task oriented
- Effective customer service experience
- Excellent people skills
- Administrative Assistance back up for own properties
- Working experience with computer software
- Proactive, initiate follow-thru, organized, dependable and flexible
- Ability to travel on-site to properties weekly and excellent driving history
- Adaptability to emergency issues
- Ability to travel out of town
- Flexibility to work evenings and weekends
- Strong knowledge of Outlook, Word, Excel, and administrative tasks as needed
