The Bright Spot is a new co-working, meeting and event space in Mound, MN. Our mission is to build a bright, energizing space where local businesses and community members come together to work, meet, and host events that strengthen relationships and enrich the Westonka community.
Position Overview
We are seeking a friendly, organized, and proactive Part-Time Office Manager to support the daily operations of our coworking and office space during business hours. This role is responsible for creating a welcoming environment for members and guests while ensuring the space runs smoothly throughout the day.
The Office Manager serves as the primary point of contact during daytime hours, helping maintain a clean, functional, and professional workspace. This position is ideal for someone who enjoys community-focused environments, hospitality, and operational organization.
Schedule: Part-time shifts between 8AM - 6PM, Monday–Friday
Location: Onsite at the coworking space
Reports to: Owner
Key Responsibilities
Member & Guest Experience
- Welcome members and guests and provide assistance as needed
- Help visitors navigate the space and locate meeting rooms
- Ensure a friendly, professional, and community-oriented atmosphere
- Address basic questions or requests throughout the day
- Maintain a visible and approachable presence in the space
Daily Space Operations
- Open and prepare the space for the day when scheduled
- Conduct periodic walkthroughs to ensure shared areas remain clean and organized
- Reset conference rooms after meetings
- Monitor shared spaces to ensure community guidelines are followed
- Assist with managing mail and package distribution
- Help maintain office equipment such as printers and shared supplies
Kitchen & Hospitality
- Prepare and maintain coffee and water stations
- Restock snacks and kitchen supplies
- Run and unload the dishwasher as needed
- Keep kitchen and common areas tidy throughout the day
Facility Maintenance Support
- Identify and report maintenance issues
- Troubleshoot minor issues with technology, lighting or equipment
- Coordinate with vendors or management if repairs are needed
Administrative Support
- Establish organizational systems, directional signage and labels to ensure a seamless customer experience
- Monitor room bookings to ensure timely start / end times; assist with meeting room setup
- Support administrative tasks, including monitoring and responding to emails and scheduling tours
- Maintain supply inventory and notify management when items need restocking
- Assist with maintaining operational checklists and documentation
Event Support
- Help to facilitate weekend events as needed, specifically supporting for set up through clean up to ensure a seamless experience
Qualifications
- Previous experience in office management, hospitality, customer service, or coworking environments preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Comfortable working independently and taking initiative
- Professional and welcoming demeanor
- Basic comfort with technology and office equipment (WiFi, printers, scheduling tools)
