The Family Office Controller oversees all accounting, financial reporting, insurance, and cash management functions for the family's personal, trust, investment, and entity-level affairs. This role leads a small accounting team, manages the full financial reporting cycle across multiple entities and investment structures, and serves as the principal point of financial oversight and control for the family's holdings—including liquid investments, fixed income/bond portfolios, trust accounts, charitable vehicles, real estate, and other personal assets. The Controller works closely with outside investment managers, custodians, trustees, tax advisors, insurance brokers, and legal counsel, translating complex financial activity into clear, accurate, and timely reporting for the family and principal.


PRIMARY DUTIES (including but not limited to):

  • Team Leadership & Oversight
    • Manage and mentor a team of two (Staff Accountant and AP Clerk), reviewing and approving their work product
    • Establish workflows, internal controls, and review processes to ensure accuracy and accountability across the team
    • Serve as the escalation point for complex transactions, discrepancies, and vendor/institutional issues
  • Financial Reporting & General Ledger
    • Oversee maintenance of general ledgers across multiple entities (personal, trusts, LLCs, investment vehicles, foundations)
    • Prepare and review consolidated financial statements (balance sheet, income statement, cash flow) for the family and related entities
    • Ensure timely month-end and year-end close processes
    • Reconcile and oversee reconciliation of all bank, brokerage, and credit card accounts
  • Investment & Treasury Support
    • Track and reconcile investment activity across brokerage accounts, including equities, fixed income/bond holdings, and alternative investments
    • Monitor cash positions and liquidity across entities; coordinate cash transfers and funding needs
    • Liaise with external investment managers, custodians, and financial advisors to reconcile statements and verify reported positions
    • Support performance reporting and assist principal/CFO with investment-related financial analysis
    • Track bond maturities, interest income, and reinvestment activity
  • Trust Accounting
    • Maintain accounting records for family trusts, including principal and income allocations
    • Prepare trust-level financial statements and support trustee reporting requirements
    • Coordinate with trustees, trust counsel, and outside administrators on distributions, funding, and compliance matters
    • Track intercompany and inter-trust transactions, loans, and transfers, ensuring proper documentation
    • Support fiduciary accounting requirements specific to each trust instrument
  • Tax & Compliance
    • Coordinate with external tax preparers and CPA firms for personal, entity, trust tax filings, 1099s. 
    • Track and organize records relevant to estate and gift tax filings in coordination with outside counsel
  • Charitable Giving
    • Track grant distributions, pledges, and charitable contribution documentation
  • Insurance & Risk Management
    • Administer insurance policies and related contracts covering the family's residences, farm, construction projects, automobiles, boats, aircraft, and other high-value assets, including management of Certificates of Insurance (COIs)
    • Serve as the primary point of contact with the family's insurance broker regarding liability, property, umbrella, and other coverage, including renewals, endorsements, changes in assets, and coverage requirements
    • Coordinate insurance claims and related documentation with brokers, carriers, contractors, vendors, and other parties
  • Budgeting & Planning
    • Prepare and manage budgets across multiple properties, entities, and lines of business
    • Provide variance analysis and financial forecasting to support family/principal decision-making
    • Support capital call tracking and funding schedules for private investments, where applicable
  • Governance & Administration
    • Maintain organized, audit-ready financial records and supporting documentation across all entities
    • Support external audits (KPMG)
    • Present financial summaries directly to the principal and/or family office leadership as needed
  • Adherence to all company policies, mission and values. 
  • Any other duty as assigned by direct supervisor 
  • This position has supervisory responsibilities. 

KNOWLEDGE AND SKILLS:

  • Bachelor's degree in Accounting, Finance, or related field; CPA strongly preferred
  • Minimum 7–10 years of progressive accounting experience, including prior supervisory/management experience
  • Prior experience in a family office, private wealth, or high-net-worth environment strongly preferred
  • Strong working knowledge of investment accounting, including brokerage statements, fixed income instruments, and portfolio reconciliation
  • Experience with trust accounting and fiduciary reporting concepts
  • Deep understanding of GAAP and multi-entity consolidated reporting
  • Advanced proficiency in Excel; experience with accounting platforms (QuickBooks, Sage Intacct, or similar) and portfolio/investment reporting tools
  • Familiarity with trust and entity structures (LLCs, partnerships, trusts) and related operating/governance documents
  • Strong understanding of personal, entity, and trust tax concepts and ability to work effectively with outside tax preparers and counsel
  • Exceptional discretion and confidentiality given access to sensitive personal and financial information
  • Strong communication skills, comfortable interfacing directly with principals, advisors, trustees, brokers, and institutions
  • Ability to manage competing priorities in a fast-paced, high-touch environment
