Job Description
The Bilingual Administrative Assistant provides critical support to the Boys & Girls Clubs of Monmouth County (BGCM) by ensuring efficient office operations, excellent communication with families, and accurate documentation. This position serves as the first point of contact for many Club members and families, providing assistance in both English and Spanish. The Administrative Assistant will support compliance reporting, data entry, scheduling, and general administrative functions to ensure smooth daily operations across Club sites.
Key Responsibilities
Administrative Support
- Provide general administrative support including answering phones, responding to emails, filing, scheduling, and greeting visitors.
- Assist with maintaining accurate member records, attendance, and enrollment forms.
- Support staff with scheduling meetings, preparing documents, and coordinating logistics.
- Handle confidential information with discretion.
Bilingual Communication & Family Engagement
- Serve as a primary point of contact for Spanish-speaking families, ensuring clear communication about programs, policies, and events.
- Translate documents, flyers, and program information as needed.
- Assist families in completing registration, licensing, and enrollment paperwork.
- Provide interpretation during meetings, conferences, or family events.
Data & Compliance Support
- Assist in maintaining accurate databases for attendance, membership, and program participation.
- Support the completion of required reports for grants, licensing, and compliance.
- Track and organize documentation for audits, inspections, and funding requirements.
Operational Support
- Help coordinate events, training, and family engagement activities.
- Maintain office supplies and support technology needs (printers, software logins, etc.).
- Provide backup support for other administrative or program staff as needed.
Qualifications
- High school diploma required.
- Bilingual in English and Spanish (oral and written) required.
- Strong organizational and time-management skills with attention to detail.
- Excellent communication and customer service skills, with the ability to build rapport with families and staff.
- Proficient in Google Workspace (Docs, Sheets, Slides, Gmail, Calendar, Drive) and database systems.
- Ability to handle sensitive information with professionalism and confidentiality.

Job Type: Part-time
Pay: $17.00 - $20.00 per hour
