Executive Assistant to the Global CEO
As the Executive Assistant to the Global Chief Executive Officer (CEO), you will serve as a highly trusted strategic partner responsible for ensuring seamless operations within the Office of the CEO. This role requires exceptional judgment, advanced digital literacy, and the ability to manage complex, fast-moving priorities across global markets. You will support the CEO in driving organizational efficiency, communication flow, and critical initiatives that impact the overall direction of the company.
RESPONSIBILITIES:
Executive & Strategic Support
- Executive Information Management: Gather, analyze, and synthesize information for high-impact executive discussions. Prepare briefings, executive summaries, dashboards, and pre-reads sourced from cross-functional partners and digital systems.
- Strategic Initiative Coordination: Support the CEO on enterprise-wide initiatives by conducting research, tracking progress, drafting communications, and ensuring alignment with company priorities.
Digital & Operational Excellence
- Digital Workflow Management: Leverage productivity platforms (e.g., Teams, Slack, Concur, Notion, or project-management tools) to streamline communication, drive accountability, and enhance visibility on CEO priorities.
- Data-Driven Insights: Utilize digital tools to gather insights, create reporting materials, and support CEO-level decision-making. Comfort working with analytics dashboards or business intelligence tools is a strong plus.
- Tech-Forward Problem Solving: Use advanced digital skills to improve systems, automate tasks, and create efficiencies within the CEO’s office.
Communication & Stakeholder Management
- Executive Communication: Serve as the primary liaison for the CEO, managing sensitive communications with discretion and clarity. Draft, edit, and refine correspondence, presentations, and internal communications.
- Cross-Functional Collaboration: Coordinate with senior leaders globally and cultivate strong working relationships across all levels to ensure seamless information flow.
- Representation: Represent the CEO professionally and confidently in all interactions, demonstrating executive presence and strong interpersonal skills.
Logistics & Meeting Leadership
- Meeting Stewardship: Oversee planning and preparation for executive meetings, including agendas, materials, digital decks, and follow-up tracking.
- Global Calendar & Travel Management: Manage a dynamic global schedule, orchestrating complex travel arrangements and anticipating logistical challenges across time zones.
- Expense & Budget Oversight: Manage expense reports, reconciliations, and budget tracking with accuracy and compliance.
Project Leadership
- Special Projects: Lead and support high-priority, confidential projects requiring judgment, discretion, and an understanding of organizational nuances.
- Continuous Improvement: Identify gaps, propose innovative solutions, and implement process improvements to enhance the efficiency of the CEO’s office.
Professionalism, Judgment & Anticipation
- Confidentiality & Discretion: Handle all information with the utmost sensitivity, especially matters involving personnel, strategy, or board-level topics.
- Proactive Anticipation: Stay three steps ahead—anticipating needs, preempting risks, and preparing the CEO for upcoming commitments and decisions.
- Ability to Influence: Confidently and respectfully push back when needed to protect the CEO’s priorities, time, and strategic focus.
QUALIFICATIONS:
- 7 years of senior-level executive support experience, including direct support to a CEO or C-Suite leader in a global, fast-paced environment.
- Advanced digital fluency, with mastery in Microsoft Office Suite and comfort using collaboration tools, scheduling platforms, CRM tools, and/or project-management systems.
- Experience working in global organizations, with understanding of cross-cultural communication and international time zones.
- Exceptional written, verbal, and presentation skills, with the ability to draft executive-level materials.
- Highly organized and detail-oriented, with the ability to balance shifting priorities and deadlines.
- Strategic mindset, with the ability to understand business priorities and align daily operations accordingly.
- High degree of flexibility, with the ability to be accessible during off-hours for urgent matters or last-minute changes.
