Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in creating a welcoming environment for clients and visitors, managing administrative tasks efficiently, and supporting office operations. The ideal candidate will possess excellent communication skills, proficiency with office management tools, and the ability to handle multiple responsibilities with professionalism and attention to detail. Bilingual abilities are a plus, as well as experience in medical or dental reception.

Duties

  • Greet clients, visitors, and callers with a friendly and professional demeanor
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software
  • Handle correspondence, proofread documents, and ensure accuracy in all communications
  • Support office management tasks such as bookkeeping, billing, and basic bookkeeping functions
  • Assist with customer support by addressing inquiries promptly and courteously
  • Maintain a clean and organized reception area and office environment
  • Support administrative functions including typing, proofreading, and document preparation
  • Manage office supplies inventory and place orders as needed

Qualifications

  • Proven experience in office management, clerical work, or administrative support roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent organizational skills with the ability to multitask effectively
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Previous experience in medical or dental receptionist roles is a plus
  • Ability to handle sensitive information discreetly and maintain confidentiality
  • Exceptional customer service skills with a friendly attitude and professional appearance
  • Reliable time management skills to prioritize tasks efficiently
