Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism
- Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Perform data entry and maintain accurate filing systems both digitally and physically, including document proofreading for clarity and accuracy
- Coordinate calendar management for staff, scheduling appointments, meetings, and reminders using Google Workspace or Microsoft Office tools
- Handle clerical tasks such as photocopying, scanning, mailing, and organizing office supplies to ensure a well-stocked workspace
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Provide exceptional customer service by assisting clients or patients in person or over the phone, ensuring their needs are met promptly
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Bilingual abilities are highly desirable to communicate with diverse clients and team members
- Experience with office management procedures including filing systems, data entry, and document proofreading
- Knowledge of medical or dental receptionist duties is a plus, along with personal assistant experience for comprehensive support capabilities
