Description
The Medical Office Assistant provides administrative support to the nursing department, and medical practitioners. This role is the first point of contact for our medical office, serving a small in-house patient community in a friendly, welcoming manner. This role will perform duties using specific knowledge of medical terminology, and hospital, clinic or laboratory procedures including scheduling appointments, performing insurance and pre-authorization/billing duties, compiling and recording medical charts and reports as well as basic admin duties.
Job Duties & Responsibilities:
- Schedules patient internal and external medical appointments
- Arranges drivers for patient appointments as needed
- Medical transcription
- Updates and files patient medical information
- Handles general office correspondence and filing
- Answers telephone and greets patients
- Arranges drivers for patient appointments as needed
- Verifies insurance coverage for prior authorizations for outgoing appointments
- Retrieves diagnostic procedure results and submits to RN for review.
- Assists with onboarding of new hires (i.e., collecting COVID Vaccine cards, reading PPD)
- Performs various clerical and administrative functions including maintaining an inventory of PPE and supplies.
- Supports other areas with administrative tasks based on the needs of the organization.
Requirements
- Excellent communication skills, both verbal and written
- Strong organizational skills with the ability to prioritize work.
- Ability to hold respectful boundaries and maintain confidentiality (HIPAA compliance) in all aspects of the role.
- Ability to follow instruction from multiple sources, take initiative and follow through to assure effective outcomes while meeting deadlines.
- Demonstrated ability to effectively manage multiple projects and tasks simultaneously
- Proficiency in Microsoft Office, electronic medical records (previous experience with electronic health records is helpful), and willingness to learn other software and databases
- Open to respecting differences in our patient and staff community, supporting a welcoming and safe environment.
Education and Experience:
- Associates Degree in business or related field or Medical Office Administration Certificate.
- Minimum of 1-3 years administrative support experience.
- Previous experience with electronic medical records and medical terminology helpful.
