PURPOSE OF POSITION:
The Bookkeeping Supervisor is responsible for overseeing daily bookkeeping and accounting functions related to grain operations, including settlements, contracts, scale tickets, payments, and customer accounts. This role ensures timely, accurate, and compliant financial processing while supporting smooth communication between accounting, grain merchandising, and location teams.
The Bookkeeping Supervisor leads a team of bookkeepers and provides hands-on guidance, training, and oversight to ensure consistent practices across all locations.
RESPONSIBILITIES:
Grain AccountingBookkeeping
- Oversee and review daily grain transactions, including scale tickets, purchases, sales, settlements, and storage/DP billing
- Maintain accuracy and timeliness of grower settlements, deferred payments, and contract applications
- Verify and reconcile grain positions, contract balances, and inventory reports with merchandising and operations
- Ensure all documentation, signatures, and approvals meet company and compliance requirements
- Assist with month-end and year-end processes, including reconciliations, accruals, and reporting
Team LeadershipSupervision
- Lead, train, and support a team of grain bookkeepers
- Monitor workload and workflow to ensure timely completion of tasks
- Provide guidance and problem-solving support for transaction issues or system errors
- Promote accuracy, teamwork, and accountability within the group
Customer ServiceCommunication
- Serve as a key contact for growers, vendors, and internal staff regarding account statements, payments, and grain records
- Collaborate closely with grain merchandisers, operations, and logistics teams to ensure smooth coordination between accounting and field operations
- Communicate clearly and professionally when resolving account or contract discrepancies
SystemsProcess Management
- Oversee daily activity within the grain accounting/bookkeeping software and ensure consistent data entry practices
- Identify opportunities to streamline and standardize bookkeeping procedures across the company
- Assist with software improvements, data audits, and staff training on accounting systems
ComplianceReporting
- Ensure adherence to company policies, state and federal grain regulations, and audit requirements
- Prepare reports and documentation for auditors and management as needed
- Support accurate tracking of grain licenses, bonds, and other compliance documentation other duties as assigned.
QUALIFICATIONS:
The ideal candidate will possess the following:
- Associate or bachelor's degree in accounting, Finance, Agribusiness, or related field preferred
- 5 years of experience in grain accounting, bookkeeping, or agricultural business operations preferred
- Prior leadership or supervisory experience strongly preferred
- Strong understanding of grain contracts, settlements, and deferred payment programs
- Proficiency with accounting or grain management software and Microsoft Excel
- Excellent organizational skills, accuracy, and attention to detail
- Strong interpersonal and communication skills with the ability to lead and collaborate across teams
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Light sedentary office work
Frequently: vision and hearing abilities, sitting and repetitive wrist, hand, and/or finger movement
Sometimes: lifting, carrying up to 20-35 lbs (i.e. office supplies)
Rarely: extensive standing, walking, exposure to hazardous materials, weather conditions- Physical requirements may change with duties
