Position Overview:

The Onboarding and Training Specialist manages the integration of new employees into an organization, focusing on both initial onboarding and ongoing training. The Onboarding and Training Specialist will deliver training programs, ensuring new hires understand company policies, procedures, and culture, with also facilitating the smooth transition into their roles. The Onboarding and Training Specialist will support various HR functions, ensuring compliance with organizational policies and legal requirements. This role will complete recruitment, onboarding, employee relations, and general HR operations. The Onboarding and Training Specialist works closely with the HR Director and management to ensure efficient and effective HR processes.

  • Proficiency in Microsoft Office Suite and ability to quickly learn HRIS and related systems.

Key Responsibilities:

Recruitment & Hiring Support

  • Manage posting job openings, screening applicants, processing applications, and coordinating interviews.
  • Oversee the preparation and verification of employment documents, ensuring compliance with organizational policies and legal standards.

Onboarding & Orientation

  • Manage the onboarding process for new employees, conduct orientation sessions, and assist with paperwork and employment documentation.
  • Ensure all HR forms are completed accurately and in compliance with company policy.
  • Complete I-9’s in appropriate time.
  • Conduct employee orientation programs to introduce new hires to personnel and benefits processes, including health, dental, medical, and compensation plans.
  • Assess training needs and deliver engaging training sessions.

Employee Relations & Compliance

  • Address employee inquiries related to HR policies, procedures, and onboarding.
  • Assist in managing minor employee disputes and escalating issues when necessary.
  • Ensure compliance with employment laws and organizational policies, maintaining accurate employee records, contracts, and documentation in line with confidentiality requirements.

HRIS & Document Management

  • Maintain accurate employee records in the HRIS, ensuring that all data entries are up to date, particularly for new hires, terminations, and benefits information.
  • Track employee compliance with required clearances, certifications, and other necessary documentation.
  • Manage the collection, organization, and archiving of employment documents and employee files, ensuring data is stored securely and in compliance with legal standards.

Written References & Documentation

  • Provide written references and other formal documentation for internal and external requests.

Additional Responsibilities

  • Maintain confidentiality regarding personnel actions, legal matters, and other sensitive information related to organizational planning and employee management.
  • Perform other duties as assigned.

Work Schedule: Part-time/Nonexempt Fulltime Exempt Nonexempt

Qualifications:

  • Bachelor’s degree in human resources, Business Administration, or related field.
  • 3-5 years of HR experience.
  • SHRM-CP or PHR certification preferred but not required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
