Position Summary:
The Facilities Specialist reports to the Facilities Manager and is responsible for coordinating routine maintenance activities across community living and program office locations. This role supports the organization’s mission, vision, and core values while contributing to the advancement of Arc PG's strategic objectives in all service areas.

What You'll Be Doing Day-to-Day:

Receives direction to assist with activities and services for maintaining the grounds, buildings, and physical resources of Arc properties.

Supports a customer service-focused approach for staff, families, and external partners.

Assists with preparing homes for sale and related real estate tasks.

Maintains accurate, comprehensive records of all maintenance activities using a computerized facilities management system.

Implements a preventative maintenance schedule to extend the life of building systems and equipment.

Coordinates repairs and renovations for community living sites, including infrastructure planning and setting priorities for improvements.

Manages the electronic work order system to ensure requests are prioritized based on urgency.

Works with on-call contractors to resolve after-hours emergencies and coordinate sanitation responses for incidents such as COVID-19 exposure or biohazard situations.

Oversees environmental health and safety, including indoor air quality, HVAC upkeep, and mold/mildew prevention.

Ensures compliance with safety regulations, laws, and building codes.

Promotes diversity, equity, and inclusion within the department and engages in learning and development activities to support a respectful, culturally competent work environment.

Reviews and responds to all emails and voicemails daily.

Reviews, assigns, and updates submitted work orders via iCare system on a daily basis.

Prioritizes work orders based on urgency and communicates obstacles to the Director.

Maintains accurate status tracking of work orders (e.g., in progress, completed).

Determines whether issues should be handled by internal staff or external vendors/contractors.

Assists in organizing repair and maintenance projects such as flooring installation, fence removal, bulk trash pickup, and tree removal.

Coordinates with the property manager to schedule timely bulk trash pickups to prevent outdoor clutter at any location.

Develops and monitors a 90-day schedule for air filter replacements and notifies Program Managers and Maintenance Manager when due.

Drafts and sends letters or correspondence to staff, companies, and other stakeholders as directed by leadership.
Vendor Relations:

Maintains and shares an updated vendor list with staff on a quarterly basis.

Builds strong working relationships with all vendors and acts as the liaison between The Arc and service providers.

Researches and recruits qualified vendors to ensure competitive pricing and service quality, in collaboration with the Chief Program Officer (CPO).

Oversees landscaping services for all buildings, ensuring properties remain well-maintained and within budget.

Investigates high utility bills and coordinates onsite inspections with utility providers to identify potential issues such as leaks.
You are the Ideal Candidate If:
- High School diploma with five years of direct experience in a role involving coordination with a variety of staff roles and vendors.
- A minimum of three years of professional experience and exposure in facilities management and/or facilities-related services.
- Sufficient technical knowledge to provide effective guidance to field staff.
- Three or more years in assisting Human Service program compliance
- Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.
- Must be guided by honesty, common sense, maturity, discretion, and the ability to maintain confidentiality of highly sensitive information.
- The employee must have a valid driver’s license from the state in which they reside and be privileged to drive in accordance with the Motor Vehicle Record (MVR, with no more than two points. Guidelines as established by the company. Successful candidates must also meet criminal background check and drug testing requirements and maintain certification in First Aid and CPR.
- Additional skills required are budget management and vendor relations, including above-average verbal and written communication and interpersonal skills.
