⭐ Position Overview
The Health Center Practice Manager oversees daily administrative and operational functions of The Arc Mercer Health Center. This role ensures seamless coordination of appointments, medications, insurance requirements, laboratory orders, and communication across multiple departments and external partners.
You’ll be the central hub connecting physicians, clinical staff, residential programs, families, pharmacies, and outside providers — ensuring timely, accurate, and person-centered care for individuals with IDD.
⭐ What You’ll Lead
🩺 Practice & Appointment Coordination
- Manage physician schedules and Health Center calendars
- Coordinate resident appointments with internal/external providers
- Oversee referrals, follow-ups, testing, and provider recommendations
- Communicate appointment details to residential and clinical teams
💊 Medication & Pharmacy Coordination
- Serve as primary liaison with pharmacies
- Receive, verify, secure, and document injectable medications
- Complete and track prior authorizations, appeals, and medication forms
- Coordinate Genesight testing and related documentation
🔬 Laboratory & Diagnostic Support
- Process lab orders and requisition forms
- Coordinate lab appointments and follow-up documentation
- Ensure providers receive timely lab results and information
🛡️ Insurance & Authorization Management
- Verify insurance eligibility via NaviNet and Tebra
- Submit and track prior authorizations and appeals
- Resolve insurance issues impacting appointments or medications
📞 Communication & Administrative Operations
- Manage Health Center emails, calls, voicemails, and correspondence
- Maintain organized medical, administrative, and insurance records
- Support communication between Health Center, Residential Services, Day Program, families, pharmacies, and outside providers
💼 Financial & Office Administration
- Prepare bank deposits and maintain deposit documentation
- Track deposits and bill breakdowns in Excel
- Maintain organized financial and administrative records
🤝 Provider & Pharmaceutical Relations
- Coordinate meetings with pharmaceutical representatives
- Maintain product information and educational materials
- Support provider communication with external organizations
⭐ What You Bring
Required
- High school diploma (Associate/Bachelor’s in healthcare administration or business preferred)
- Experience in medical office administration or healthcare practice management
- Knowledge of scheduling, insurance verification, prior authorizations, and pharmacy coordination
- Proficiency with Tebra, NaviNet, and Microsoft Excel
- Strong organizational, communication, and problem-solving skills
- Ability to manage multiple priorities with accuracy and confidentiality
Preferred
- Experience working with individuals with intellectual and developmental disabilities (IDD)
