Office Coordinator is responsible for providing exceptional customer service as the first point of contact for visitors, individuals served, families, and vendors. This position also provides administrative and accounting support to the Finance Department by assisting with cash receipts, reconciliations, and financial record maintenance. Essential Duties and Responsibilities
Reception and Administrative Duties
- Greet and assist visitors, individuals served, families, vendors, and courteous manners.
- Answer and direct incoming telephone calls and inquiries.
- Receive and distribute incoming mail, packages, and deliveries.
- Maintain visitor logs and ensure adherence to agency safety procedures.
- Schedule meetings, reserve conference rooms, and assist with meeting preparations.
- Maintain office supplies inventory and coordinate purchasing requests.
- Support administrative projects and general office operations.
- Assist with filing, scanning, and maintaining electronic and paper records.
Accounting Duties
- Reconcile petty cash and maintain supporting records.
- Assist with Gas credit card reconciliations and expense reporting.
- Prepare reports, spreadsheets, and financial documentation as requested.
- Recording of Trip Mileage
Customer Service and Mission Support
- Provide excellent customer service to individuals served, families, donors, and community partners.
- Maintain confidentiality regarding financial, personnel, and client information.
- Support The Arc Jacksonville's mission of serving individuals with intellectual and developmental differences.
- Demonstrate professionalism, respect, and commitment to the organization's values.
Qualifications
- High School Diploma or GED required.
- Experience in a nonprofit environment preferred.
- Microsoft Office Suite
- Strong customer service and communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
Knowledge, Skills, and Abilities
- Ability to maintain accurate records and financial documentation.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Ability to work independently and collaboratively within a team environment.
- Strong interpersonal skills and professional telephone etiquette.
- Ability to handle confidential information with discretion.
Salary $16 to $20 per hour, depending on qualifications and experience
