The Arc Gloucester is currently looking for a Full Time Event Planning Coordinator.

The Arc Gloucester’s Fundraising and Events Coordinator is responsible for leading and managing the organization's fundraising and development efforts, as well as planning and executing successful events. This position plays a key role in building relationships with donors, sponsors, and stakeholders, and ensuring the success of The Arc Gloucester’s programs and initiatives. Additionally, this positionwill oversee the planning, coordination, and execution of events that align with the organization's mission, engage the community, and support fundraising goals.

Position: Exempt. Flexible hours due to community events. Typical hours are daytime hours, Monday – Friday. Must be available for emergency coverage beyond regularly scheduled hours. Locations available throughout Gloucester County. This position operates in an indoor and/or outside fieldwork setting where exposure to weather elements, dirt, and dust, unpleasant smells, and/or loud noises are possible, indoor temperature fluctuation on occasion, with travel between facilities and within the community possible. This position is supervised by the CEO. This position works closely with the Marking Coordinator.

Essential Duties And Responsibilities

Fundraising and Development:

  • Develop and implement a comprehensive fundraising strategy to increase revenue streams through major gifts, individual donations, corporate partnerships, and grants.
  • Cultivate relationships with current and potential donors, building long-term partnerships to support the organization’s mission and goals.
  • Oversee donor stewardship, ensuring timely follow-up and recognition for contributions.
  • Work with the Chief Executive Officer and Board of Directors to identify, secure, and grow funding opportunities.
  • Create and implement strategies for donor acquisition, retention, and growth.
  • Maintain and track donor records in the donor management system, ensuring all interactions are documented.

Event Planning And Management

  • Plan, coordinate, and execute fundraising events, including galas, golf tournaments, walks, community outreach programs, and donor cultivation events.
  • Work with vendors, volunteers, and event staff to ensure events are delivered on time, within budget, and meet organizational objectives.
  • Collaborate with other team members to align event themes, messaging, and activities with the organization’s mission and goals.
  • Manage event logistics, including venue selection, catering, entertainment, and other essential components.
  • Develop and implement event marketing strategies to increase attendance and engagement, leveraging digital platforms, email campaigns, and social media.
  • Ensure appropriate recognition of donors, sponsors, and partners at events, maintaining positive relationships and visibility.
  • Evaluate events post-completion, identifying areas of improvement and making recommendations for future events.

Team Leadership And Collaboration

  • Supervise staff and event volunteers, providing guidance, training, and support.
  • Collaborate with other departments, to align development and event strategies with the organization’s overall messaging.
  • Work with the Chief Executive Officer and Board to set and review fundraising goals, performance metrics, and reporting.
  • Assist in the development of the annual budget for fundraising and events, ensuring proper allocation of resources.

Marketing And Communications

  • Develop and manage fundraising and event-related communications, including newsletters, donor thank-you letters, event invitations, and social media posts.
  • Support the organization’s public relations efforts by ensuring fundraising and event activities are effectively promoted within the community and through various channels.



Administrative And Reporting

  • Track and report on fundraising progress, event outcomes, and donor engagement to the Chief Executive Officer, Board of Directors, and necessary stakeholders.
  • Prepare reports on fundraising and event performance, including analysis of costs, revenue, and donor trends.
  • Prepare Monthly Board Reports
  • Participate in the Board of Directors’ Public Awareness & Fundraising Committee on an as needed basis

General

  • Primary department, work location and schedule may vary.
  • Maintain confidentiality
  • Comply with the DDD Program Manual, The Arc Gloucester Policies and Procedures Manual and applicable state, local and federal regulations, including any COVID-19 vaccination mandates & policies
  • Must cooperate and participate in reviews, investigations, and inspections, including but not limited to cooperation with the licensee and Department of Human Services staff in any inspection, inquiry or investigation
  • Management responsibilities, including assisting with trainings, planning, workflow, and problem solving
  • Complete and maintain required training
  • Additional responsibilities as required

Qualifications

  • Bachelor’s Degree, and must be 18 years of age or older
  • 1 years of experience working with people with developmental disabilities required for management/supervisor positions.
  • Must have a current, non-probationary driver’s license with 5 points or less, and deemed acceptable to drive by The Arc Gloucester’s liability insurance company, valid in the state of New Jersey
  • Proficient in basic computer, math, reading comprehension and verbal and written communication skills
  • Successfully pass initial and ongoing Federal & State Criminal Background checks, Fingerprinting, Central Registry, Motor Vehicle Record (MVR), Child Abuse Record Information (CARI), Health Screenings, Employment Verifications & References & Drug testing/ All employees must submit to a criminal background check, and be determined to be not disqualified by the Department of Human Services prior to working with individuals served, agree to have their name checked against the Central Registry of Offenders Against Individuals with Developmental Disabilities, shall complete an application to have their name checked against the Child Abuse Registry Information (CARI), shall submit to drug testing conducted randomly and for cause. all employees hired after 6/15/18 shall submit to drug testing prior to employment
  • Certified in CPR/First Aid (recommended, not required)
  • Successfully complete and demonstrate proficiency in all areas of required training

Physical Requirements

While performing the essential functions of this position, the following are required, with or without reasonable accommodation:

  • Ability to sit, drive, stand and walk for extended periods of time
  • Ability to operate a computers, phone and other relevant technology
  • Talk, hear and communicate in person, over the phone and using other technologies
  • Physical duties, including but not limited to carrying, driving, general lifting (at least 15 lbs, occasionally up to 50 lbs.), bending, twisting, squatting, cleaning, and climbing stairs
