Job Title: Executive Business Administrator
Location: Onsite – 5 days per week (Redmond, WA)
Rate: $43-$45/ hour
Duration: Through 6/30/26 (Possible extension)
Purpose of the Role
As an experienced Executive Business Administrator, you will serve as the backbone of operational excellence for the central staff team supporting our client's President. This role requires managing complex schedules, coordinating logistics, and ensuring seamless communication with executives and external partners. You will play a critical role in maintaining high standards of professionalism and efficiency across all administrative functions.
Key Responsibilities
- Provide complex calendar management for our client's President, including prioritization and scheduling.
- Manage meeting preparation and logistics: ensure timely delivery of materials, book conference rooms, and vet attendee lists.
- Drive polished, professional communication with executive teams and external stakeholders.
- Coordinate executive travel and expense reporting.
- Oversee multiple end-to-end projects, including team events, onboarding/offboarding, and special initiatives.
- Develop workback schedules and checkpoints to ensure successful event outcomes.
- Own hardware procurement processes for onboarding/offboarding employees.
Performance Measurement
- Compliance with job scope and timely execution of responsibilities.
- Professionalism and poise in handling executive tasks.
- Successful completion of projects by scheduled deadlines with positive stakeholder feedback.

Required Skills & Qualifications
Education
- High school diploma or GED required.
- Bachelor’s degree in Communications or Business strongly preferred.
Experience
- 5–7 years of relevant experience in executive support or business administration.
- Prior experience supporting senior executives highly preferred.
Core Skills
- Advanced proficiency in Microsoft Office 365 (Word, Excel, PowerPoint).
- Strong verbal and written communication skills with polished executive presence.
- Proven ability to multitask and thrive in a fast-paced environment.
- Exceptional organizational skills and ability to maintain confidentiality.
- Project management experience with successful outcomes and positive stakeholder feedback.
Candidate Requirements
- Must commit to full 18-month engagement and be available to start promptly.
- Must work onsite five days per week and live within 50 miles of the office.
- Ability to lift at least 10 lbs.
- Minimum of 3 years relevant experience; 5–7 years preferred.
- Strong communication skills and discretion due to security-sensitive nature of work.
Disqualifiers:
- Inability to meet onsite requirement or start promptly.
- Lack of proficiency in Microsoft Office 365 tools.
- Minimal experience in fast-paced, virtual environments.
