Duties
- Manage and maintain detailed calendars using Microsoft Outlook Calendar, coordinating meetings, appointments, and travel arrangements with precision.
- Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes with accuracy.
- Organize and oversee office operations, including filing systems, data entry, and clerical tasks to ensure smooth daily functioning.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion of tasks.
- Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while directing calls efficiently.
- Assist with event planning for corporate meetings, seminars, or team-building activities, managing logistics from venue booking to material preparation.
- Support bookkeeping activities using QuickBooks for expense tracking and invoicing; perform basic bookkeeping and office management duties as needed.
- Facilitate communication by managing email correspondence, scheduling meetings via Microsoft Outlook or Google Workspace, and ensuring all parties are informed promptly.
- Conduct research or gather data for reports or presentations; proofread documents for clarity and accuracy before distribution.
- Serve as a front desk representative when necessary, greeting visitors professionally and maintaining a welcoming environment.
Experience
- Proven experience as an executive assistant or in a similar administrative role supporting senior executives.
- Demonstrated expertise in office management, including filing systems, data entry, and clerical support functions.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.
- Prior experience with QuickBooks or similar bookkeeping software is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional communication skills—both written and verbal—with strong phone etiquette capabilities across multi-line phone systems.
- Ability to handle sensitive information discreetly while maintaining professionalism at all times.
- Experience coordinating events or large meetings from start to finish is preferred.
