This dual position combines client-facing responsibilities (showings, open houses, property prep) with administrative and marketing support (transaction coordination, database management, and brand consistency).The Perfect CandidateThe Real Estate Executive Assistant is the heartbeat of the team — the person who ensures every client interaction, listing launch, and system runs smoothly. If you love people, process, and polished presentation, this is an opportunity to grow within one of Greater Boston’s top-performing real estate teams.Key ResponsibilitiesClient-Facing SupportConduct showings, open houses, and final walkthroughs on behalf of the team leaderPrepare properties for showings (lighting, signage, staging touch-ups, lockbox management)Gather client feedback and communicate insights to the team leader • Provide a professional, welcoming presence for buyers, sellers, and cooperating agentsSupport at listing photo shoots, inspections, final walkthroughs and closings Transaction CoordinationAssist with contract-to-close processes: scheduling, document prep, and deadline trackingCommunicate proactively with clients, lenders, attorneys, and co-broke agents • Ensure all documents are accurately filed in Dotloop, Skyslope, or similar systems • Update transaction and task trackers in CRM (familiarity with Pipedrive preferred)Marketing & Administrative SupportCreate and proof marketing materials (social posts, brochures, postcards, email campaigns)Maintain brand consistency across all materials and platformsInput, update, and monitor listings in MLSTrack client gifts, touchpoints, and key relationship milestones in the CRM • Manage team calendars, coordinate appointments, and assist with general operationsCoordination and execution of annual projects and mailingsQualifications1–3 years of real estate, client service, or administrative experience preferredMassachusetts Real Estate License requiredHighly organized with exceptional attention to detailStrong interpersonal and communication skillsTech-savvy: experience with MLS, OneDrive, CRM systems (Pipedrive), and CanvaReliable transportation and flexibility for travel to showings, photoshoots, and events across Greater BostonPersonal QualitiesProfessional, polished, and personableCalm and adaptable under pressureLoves learning, problem-solving, and improving systemsCompensation & GrowthSalary Position: $65,000 Annual BonusPrimary Work Days: Wednesday – SundayIf working on Monday or Tuesday, flex time will be earned10 days paid approved vacation Christmas, Thanksgiving, New Years Day, July 4th, Labor DayJob Type: Full-timeBenefits:Paid time offWork Location: Hybrid remote
