Job Description

Position Title: Load Processor (Part-Time)

Position Summary

The part-time Agricultural Logistics Load Processor supports the billing and settlement workflow by reviewing documentation, entering load data, resolving basic issues, and maintaining clear communication with carriers, factors, and internal teams. This role requires strong attention to detail, reliability, and the ability to stay organized while managing a steady flow of incoming paperwork.

Key Responsibilities

Billing & Settlement Processing

• Enter and process all load paperwork received via email for billing and settlement.
• Review and manage documents such as:
• Notices of Assignment (NOAs) and releases
• Rate confirmations
• Prebilling
• Transfer loads to settlement once the required information is complete.
• Identify any missing or incorrect paperwork and assist in resolving discrepancies
  
  

Document Review & Verification

• Regularly scan and review emails for incoming documents.
• Verify required paperwork for both customer billing and carrier payment.
• Mark loads as “Ready to Bill” once documentation is confirmed.
• Request missing documents from carriers or factors as needed.
• Add clear, concise notes in Order History so team members stay informed of load status.
  
  

Monitoring & Resolving In-Progress Loads

• Track loads that are still pending, incomplete, or awaiting documentation.
• Follow up for missing paperwork to help move loads to billable status.
• Keep the team informed of delays, issues, or important updates.
  
  

Phone Support

• Answer inbound calls professionally and courteously.
• Assist when possible or redirect callers to the appropriate support inbox (paystatus@..., noa@..., invoice@...).
• Provide guidance so inquiries can be properly addressed by the team.
  
  

Issue Resolution & Follow-Up

• Communicate with team members to resolve simple load-related issues that can be handled in-house.
• Document all actions taken in Order History.
• Notify carriers of load status updates when applicable.
  
  

Error Identification & Correction

• Identify basic internal errors on loads transferred to billing and assist in correcting them.
• Update earning/deduction codes when settlement transfers require adjustments.
  
  

Other Duties

• Assist with departmental tasks as assigned.
• Support the billing and settlement team by keeping workflow accurate and organized.
  
  

Schedule

Hours vary based on staffing needs, typically Monday through Friday, 9:00 AM – 1:00 PM.

Requirements:

2-3 years of relevant working experience

Associates Degree in Accounting

Strong Math Skills

Ability to read, write, speak and listen.
