Job Summary
We are looking for a warm, polished, and highly organized Front Desk Concierge to join our team at The Aesthetics Lounge & Spa St. Joseph. As the first impression of our spa, you will welcome clients, create a luxury guest experience, and support the daily flow of our aesthetic practice.
The ideal candidate is upbeat, detail-oriented, comfortable in a fast-paced environment, and confident using technology. Experience in a medical spa, salon, or medical office is a plus — but a positive attitude, professionalism, and eagerness to learn are even more important.
Duties & Responsibilities
Client Experience & Guest Services
- Greet all clients warmly and create an elevated, friendly, and professional front desk atmosphere
- Check clients in/out through our booking system (Boulevard)
- Educate clients on spa policies, memberships, skincare products, and treatment preparation
- Assist clients with questions regarding injectables, laser treatments, skincare services, and general spa inquiries
- Maintain a clean, aesthetically pleasing front desk and lobby environment
Scheduling & Administrative Duties
- Manage phones, return voicemails, and respond to client messages promptly and kindly
- Schedule appointments, adjust schedules, and support providers’ calendars in Boulevard
- Handle intake forms, consents, and ensure chart accuracy
- Support daily administrative tasks such as scanning, filing, organizing treatment rooms, stocking supplies, and maintaining workflow throughout the spa
Retail & Checkout
- Process payments and ensure accurate checkout for services, promotions, and retail
- Track inventory for skincare, injectables, and supplements
- Assist with sales of skincare and wellness products with product knowledge provided during training
Team Support
- Communicate effectively with injectors, estheticians, and management
- Assist with light office tasks including preparing client packets, organizing product displays, and supporting event preparation
- Maintain professionalism, confidentiality, and a positive team culture
Skills & Qualifications
- Strong communication and customer service skills
- Excellent phone etiquette and ability to multitask
- Comfort working with scheduling software (Boulevard experience is a plus)
- Proficiency with technology, email, and basic office tools
- Ability to stay organized in a fast-paced environment
- Experience in a spa, salon, or medical office preferred
- Familiarity with skincare, beauty, or medical aesthetics is a bonus
- A polished, friendly, and professional demeanor
- Must enjoy working with people and contributing to a team-oriented environment
