Essential Duties and Responsibilities: The Adult Skills Center (TASC) provides innovative and proactive services that empower individuals with diverse intellectual, developmental, and mental health needs to achieve their highest level of Independence and realize their greatest potential. Under the supervision of the Facilities & IT Director, the Front Desk Specialist is responsible for assisting in the oversight of the TASC, SFV facility. This person is responsible for maintaining clean offices, answering all phone calls and routing them to the appropriate person as well as other ad-hoc administrative duties.Primary DutiesAnswer and direct phone calls in a polite and friendly manner, route calls and take well-written messages as necessaryWelcome visitors in a warm and friendly manner, answer any questions visitors have and maintain visitor log Maintain reception area and all common areas in a clean and tidy manner at all timesOperate standard office equipment regularly, including a fax machine, a copy machine, and a computerReceive deliveries; sort and distribute incoming mailTake inventory of supplies and restock as neededResponsible for maintaining all facilities/premises in clean conditionCoordinate office cleanings to ensure that kitchens are cleaned weekly as scheduledResponsible for reporting any issues/damages to building management and any immediate concerns to local law enforcementMaintain an open line of communication with your supervisor to report any office needs immediately Assist all employees with any office supplies requests they may have and check in with all office employees regularly to ensure all their office needs are being metLiaison between vendors and the administrative team to ensure all needs are met (IT, building management, etc.)Responsible for ensuring that office policies and procedures are being met in collaboration with the directors/supervisors of programsAssist with safety drills and policies/proceduresProvide direct administrative support as needed including scheduling appointments, meetings and events, mailing, shipping packages, scanning, booking travel, maintaining filing systems, and updating lists as needed, etc.Attend regular meetings with supervisor, administrative team and attend other meetings as requested by supervisor Assist with office space/infrastructure planning (moves/adds/changes to workstations), provide answers, resources, and solutions as neededRun errands as requested by the supervisor OtherPerform other duties as assignedPerform other off-site duties as assignedParticipate in weekly meetings, trainings, etc. as assigned by the supervisorQualifications: High school diploma or general education degree (GED) required; Associate degree preferredPrevious experience in an office setting requiredRequires initiative, creativity and the ability to work independently with minimal supervisionMust be proficient in Microsoft Office Suite with the ability to learn and adapt to new software Strong time management skillsAbility to maintain confidentialityMust possess strong written and verbal communication skillsMust be able to successfully complete First Aid/CPR and other training as requiredMust have current California Driver’s license/Insurance and clean DMVMust receive criminal record clearance through the DOJPhysical Requirements:Ability to drive for workAbility to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
