About the Role:

The A List is seeking a highly effective, collaborative and friendly Director of Special Projects and Events. This is a great opportunity to join a fast-growing team and make a positive impact within the company.


The role is responsible for managing all of the talent campaigns and appearances at The A List. They will also focus on building and maintaining relationships with talent and industry representatives across all genres including film, TV, music, sports, and the art world. The person should be an experienced thought leader in the entertainment and brand space and be able to work on paid initiatives across many categories including but not limited to fashion, beauty, tech, health and wellness.


Roles Responsibilities:

*Ideal candidate to have a preexisting publicist, agent, manager, celebrity and digital influencer contacts

  • Be a strategic thinker, ambitious, energetic, creative, and digitally savvy marketer with eye for developing and curating captivating events and influencer/celebrity marketing programs
  • Be a strong leader who can manage, lead, and professionally develop a team of people
  • Lead and manage the Special Projects and Events department
  • Work closely with the CEO and Founder to establish a long range vision, goals and priorities for The A List’s Special Projects and Events strategy
  • Oversee day-to-day client management in the Special Projects and Events department
  • Oversee both paid and organic talent procurement for all Special Projects and Events projects
  • Broker multi-platform/multi-service short and long term talent partnerships on behalf of clients
  • Facilitate contracting for paid partnerships inclusive of deal term negotiation, long-form contract drafting, standard terms and conditions review and agreement execution
  • Thoughtfully cast talent for special client initiatives and seeding projects, based off client goals: aesthetic, brand awareness, conversion, etc.
  • Manage special seeding projects targeting high-performing talent who elevate and convert for brands in markets all over the world
  • Assist in creating and managing experiential activations for various brand launches
  • Oversee all reporting for various clients including, but not limited to: weekly, monthly and wrap reports— analyzing summarizing data (calculating total impression #, examining trends, gathering feedback, and sharing insights, etc.)
  • Vet all new business calls regarding the Special Projects and Events department and lead communications, proposals, agreements and briefs for each project. Evaluate related opportunities and determine if they are aligned with the overall business plan and strategy.
  • Identify rising talent, pop culture trends, and analyze data within a variety of industries and markets to inform client business strategies, existing client objectives and new client acquisition
  • Have an innate ability to multi-task and juggle many different client projects and internal A List priorities
  • Maintain and update The A List’s database with current contacts and establish new industry contacts across the fashion, lifestyle, tech, wellness and beauty sectors
  • Serve as an internal advocate with cross-functional teams and provide support across The A List including but not limited to talent outreach for showroom appointments, ideation for more digital focused campaigns, and business development strategy
  • Help define, design, and activate scope-of-work and budgets while level-setting client expectations
  • Project manage multiple accounts and projects simultaneously and be accountable for planning and allocating resources and staff time, preparing budgets, monitoring progress and keeping team members and Clients on time and accountable, and larger leadership team informed of status/issues/progress throughout
  • Manage account budgets and financials including:
  • Developing, managing, tracking, and reconciling budgets
  • Vendor negotiation and communications
  • Working with account/agency leads to develop agency fee estimates
  • Drafting, managing, and executing Scope of Work/Services
  • Managing and tracking of out-of-pocket expenses
  • Oversee project billing grids from project kickoff through project closeout
  • Liaise with the accounting team to manage all invoicing and payments
  • Manage and evaluate team hour allocation
  • Oversee client and program reporting.
  • Demonstrate strong presentation skills and ability to influence decision-makers
  • Remain abreast of current events, cultural moments and trends and spot traditional, digital, and social media trends – particularly as they relate to fashion, lifestyle, eco, travel, and spirits
  • Foster and maintain new and existing high-touch relationships with celebrities and influencers, their managers, and agents; as well as brand partners and entertainment networks to ensure ongoing brand opportunities and relevance
  • Lead event strategy and program management inclusive of venue and talent ideation, on-site experiential integrations, buzz-worthy DJ and celebrity photographer identification, and guestlisting that aligns with client’s goals / target demographics and budget
  • Serve as event lead pre-event generating team and talent ROS, event staff brief, staff assignments on-site, client comms and troubleshooting, oversee front of house management and ensure successful execution from start to finish

Requirements:

  • Bachelor’s degree in Communications, Marketing or related field preferred
  • 7-10 years relevant job experience in Event Management, Guestlisting, Digital Marketing and Celebrity Partnerships
  • Ideal candidate to have preexisting relationships of agent, publicist, manager, and talent contacts
  • Excellent communication and time management skills
  • Strong problem-solving skills and the ability to work in a quick, fast-paced environment
  • Detail oriented and organized
  • Must possess superior understanding of existing social media landscape including new and innovative tools, platforms, vendors, and technologies
  • Self-starter approach toward work with an eagerness to consistently meet and exceed objectives and take on more responsibility
  • Must have strong attention to detail and the ability to prioritize within a multi-tasking environment
  • In-depth knowledge, understanding and experience with Social Media Platforms (Instagram, Tiktok, YouTube, etc.)
