Position Details:
The Submittal Clerk will provide administrative and project support for the IHS WOSU SBHC project team. This position is responsible for managing and organizing project documentation, primarily focusing on submittals to ensure compliance with contract requirements. The role requires strong attention to detail, organizational skills, and the ability to work collaboratively with the project team to meet deadlines. This is a part-time/seasonal position, working up to 20 hours per week, reporting to work onsite at WOSU.
Duties and Responsibilities:

- Review and organize incoming submittals for completeness and compliance with contract documents.
- Track and log all submittals, and other project documentation.
- Ensure that all required submittal items are included and properly formatted before distribution.
- Coordinate with vendors, subcontractors, and project staff to obtain missing or updated submittals.
- Assist with general administrative tasks including:
- Preparing daily reports and meeting minutes
- Scheduling and organizing project meetings
- Maintaining project filing systems (digital and/or hard copy)
- Following up on pending submittals and other project deliverables

- High school diploma or equivalent required; associate degree or coursework in construction management, business administration, or related field preferred.
- Prior experience with document control, construction administration, or office support in a project environment preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and document management systems such as Procore.
- Strong organizational and time management skills with attention to detail.
- Ability to communicate effectively with team members and external partners.
