What are the responsibilities and job description for the Fire Program Coordinator position at Texas Restoration Group?
Texas Restoration Group – Central Texas
When a fire happens, people are scared, overwhelmed, and unsure what comes next.
We’re looking for a Fire Program Coordinator who can be their steady guide from the first phone call until the property is restored.
This role blends empathy and communication with organization and technical know‑how. You’ll be the main point of contact for families and property managers on some of their hardest days, making sure they feel heard, informed, and taken care of.
What you’ll do
- Be the first reassuring voice when fire and emergency calls come in, calmly gathering information and helping callers feel safe and supported.
- Coordinate fast response, dispatching our field teams and making sure everyone knows where to be and what to do.
- Perform on‑site inspections for fire and smoke losses, walking the property with the customer and explaining each step in plain, respectful language.
- Document everything carefully (photos, notes, readings) so there is a clear story from loss to rebuild for owners, tenants, and insurance.
- Create scopes and estimates using our estimating tools (Xactimate or similar), balancing accuracy, fairness, and profitability.
- Set clear expectations about timelines, access, what’s included, and any out‑of‑pocket costs so there are no surprises.
- Provide proactive updates to homeowners and property managers so they always know what’s happening next.
- Coordinate with adjusters and partners, answering questions and helping move the claim toward approval.
- Follow jobs through to completion, ensuring documentation is complete and customers feel taken care of at closeout.
This role is a fit if you:
- Stay calm, patient, and kind when people are emotional or stressed.
- Naturally listen first, then guide people step‑by‑step through a plan.
- Enjoy being the organized hub between customers, field crews, and insurance.
- Take pride in clean paperwork, clear communication, and following through on what you say.
- Like having clear goals and meaningful impact, not just “a job.”
What you bring
- 3 years in property restoration, construction, or insurance-related field work (fire/smoke experience is a strong plus).
- Experience doing on‑site inspections and documenting property damage.
- Hands-on experience writing scopes or estimates (Xactimate or similar preferred; we can train the right person further).
- Comfortable with a rotating on‑call schedule for emergency calls (nights and some weekends).
- Strong verbal and written communication; bilingual English/Spanish is a plus.
- Reliable transportation and ability to be on job sites in Central Texas.
Compensation & growth
- Competitive base salary plus commission based on the gross profit of fire jobs you own.
- Clear tiered structure: as your annual fire book grows and stays healthy, your commission percentage increases.
- Tools, training, and a team that has your back so you can focus on caring for customers and running great jobs.
Pay: From $40,000.00 per year
Benefits:
- Dental insurance
- Flexible schedule
- Paid time off
- Vision insurance
Application Question(s):
- How many years have you worked in property damage restoration, and how many of those were focused on fire/smoke?
- List the types of losses you’ve handled personally (check all that apply):
Fire/smoke, contents, deodorization
Water, mold, bio/sewage
Interior rebuild / reconstruction
- Describe your hands-on experience with inspections: what do you look for on a typical fire loss walkthrough?
- Which estimating platforms have you used? How many years with Xactimate specifically?
- In the last 12 months, roughly how many estimates did you personally write, and what was the average job size?
- What is the largest fire job (by dollar amount) you’ve run or estimated yourself? What was the final contract value?
- Describe a time you negotiated scope or pricing with an adjuster and moved the number meaningfully in your favor.
- How do you usually receive field info for estimates (your own notes, tech photos, Matterport, sketches, etc.) and how do you organize it?
- What industry certifications do you hold (IICRC, OSHA, state licenses, etc.) related to fire/restoration?
- This role is base commission on gross profit, with some after-hours / on‑call responsibility. What total annual income are you targeting, realistically?
Work Location: In person
Salary : $40,000
