Position Overview
Texas Malibu is seeking a highly organized and detail-oriented Sales & Registration Coordinator to support our Accounting and Sales departments with retail deal processing, customer documentation, and title and registration management.
This role is key to ensuring that all sales transactions are accurately entered, properly funded, and fully compliant with Texas registration requirements. The ideal candidate will have strong administrative and organizational skills, experience handling detailed paperwork and data entry, and the ability to communicate effectively with both internal departments and external agencies.
Prior dealership or title processing experience is highly preferred but not required—we are willing to train a motivated individual with solid administrative or office coordination experience.
Key Responsibilities
Sales Administration & Deal Processing
- Input customer and deal information accurately into the dealership management system.
- Review retail deal files for completeness, accuracy, and required documentation before closing.
- Record and book daily sales deposits, including cash, checks, and credit card transactions.
- Post incoming funding and dealer reserve payments from financial institutions.
- Follow up with Sales, Finance, and Service departments to ensure deals are ready for finalization.
- Maintain deal files (electronic and physical) to ensure compliance with company and audit requirements.
Title & Registration
- Review all customer deal files, including customer information, finance documents, and registration forms.
- Prepare and submit boat title and registration applications to the Texas Parks & Wildlife Department (TPWD).
- Process all trailer registrations in-house via the Texas Web Dealer system in accordance with state law.
- Maintain an active commission with the State of Texas to perform title and registration transactions.
- Ensure secure storage, accurate tracking, and proper distribution of license plates and registration materials.
- Ensure all title and registration documentation is accurate, complete, and filed on time.
- Track the status of pending titles and registrations, maintaining the department’s Excel tracking logs.
- Coordinate with the Finance department and external lenders to resolve any title-related issues.
- Prepare and distribute customer packets for deal closings.
Administrative Support & Office Duties
- Maintain organized records and tracking spreadsheets in Excel.
- Assist with general administrative duties such as document scanning, filing, and mail processing.
- Maintain office supplies and coordinate reorders as needed.
- Run errands as required, including supply pickups, mail drop-offs, and deliveries to local agencies.
- Provide professional and courteous customer communication when follow-up is required.
- Perform other duties as assigned by management.
Qualifications
- Education: High school diploma or equivalent required.
- Experience: 2 years of administrative, clerical, or office coordination experience required.
- Dealership or title/registration processing experience is highly preferred.
- Must be eligible to obtain and maintain a Texas state commission for title and registration processing.
- Strong proficiency in Microsoft Excel and general computer literacy.
- Excellent attention to detail and ability to manage multiple priorities.
- Strong organizational and communication skills.
- Ability to handle confidential customer and financial information with professionalism.
- Valid driver’s license and reliable transportation required (travel to agencies and errands are part of the role).

Pay: $22.00 - $25.00 per hour
