This position is responsible for providing comprehensive administrative, coordination, and program support for the Organization Division.
MAJOR RESPONSIBILITIES AND AUTHORITY
Administer assigned Organization Division programs, including day-to-day administrative coordination and record management for the scholarship program.
Coordinate and manage registration processes for programs, events, and conferences, ensuring accuracy, timeliness, and compliance with established procedures.
Maintain accurate program records, applications, participant data, and supporting documentation in accordance with record retention and confidentiality standards
Develop, implement, and maintain standardized administrative processes and documentation to support efficient program delivery.
Provide administrative and logistical support to department heads to ensure successful execution of division programming.
Serve as a point of contact for members, applicants, and program participants regarding program information, registration, and participation.
Track and analyze registration, participation, and retention data for Organization Division programs using approved reporting tools and systems.
Prepare reports and summaries to support program evaluation, planning, and leadership decision-making.
Assist with scheduling, deadlines, and administrative coordination related to division programming.
Other duties as assigned.
MINIMUM POSITION QUALIFICATIONS
High School Diploma or equivalent required: post-secondary education a plus.
Proven administrative or office support experience.
Efficient clerical skills, including but not limited to a working knowledge of personal computers and standard business software, including Microsoft Word, Microsoft Outlook, PowerPoint and Excel), as well as working knowledge of copy machines, and other office equipment.
Experience updating web-based content preferred.
Excellent communication skills, both written and oral.
Strong organizational skills with ability to multitask.
PHYSICAL REQUIREMENTS
Use of P.C., telephone, copy machine, and other office equipment over six (6) hours daily.
Extended periods of sitting and concentration.
Occasional bending, twisting, crouching, pulling, pushing, lifting, reaching and moving items weighing up to 30 lbs.
WORKING CONDITIONS
Occasional periods of high-stress situations required in meeting necessary deadlines.
Work to be conducted in an office environment owned or leased by company.
