Job Summary
We are seeking an energetic and highly organized Receptionist/Secretary to be the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily office functions with efficiency and professionalism. Responsibilities

  • Greet visitors, clients, and vendors warmly, ensuring a professional first impression at all times
  • Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and clarity
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and promptness
  • Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy
  • Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative duties
  • Perform clerical tasks including typing reports, proofreading documents, managing office supplies inventory, and maintaining office cleanliness

Qualifications

  • Proven experience in office administration or as a receptionist/secretary with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping (QuickBooks experience is a plus)
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong customer service orientation with polished phone etiquette and interpersonal skills
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with front desk operations, multi-line phone systems, filing systems, and calendar management
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Personal assistant or medical receptionist experience will be considered a plus
