Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring a professional first impression at all times
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and clarity
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and promptness
- Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy
- Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative duties
- Perform clerical tasks including typing reports, proofreading documents, managing office supplies inventory, and maintaining office cleanliness
Qualifications
- Proven experience in office administration or as a receptionist/secretary with strong clerical skills
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping (QuickBooks experience is a plus)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong customer service orientation with polished phone etiquette and interpersonal skills
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience with front desk operations, multi-line phone systems, filing systems, and calendar management
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant or medical receptionist experience will be considered a plus
