This position is a member of our Chief Budget & Efficiency Office Division.
HERE’S WHAT YOU’LL BE DOING
Serve as a division Administrative Services Coordinator (ASC); Provide administrative assistance to the deputy director, assistant deputy director, section managers, and staff. Schedule meetings; maintain files for the divisions; coordinate weekly status reports; coordinate staff leave time schedules; oversee travel transactions; and maintain inventory. Serve as a division time administrator; relay information to managers; review and resolve problems; enter time sheet data into CAPPS.
Perform administrative support for human resources-related actions (appraisals, promotions, merit increases, etc.) for the divisions. Interpret administrative policies and procedures. Coordinate the posting of vacancies and maintain division personnel files. Schedule interviews and correspond with applicants. Assist new staff with orientation to divisions and assist with approvals for badges, vehicles and computer access. Coordinate staff development opportunities for members of the divisions, including research options.
Serve as division purchaser/requisitioner and oversee transactions, payments, and reconciliations. Assist in budget development, tracking, and reporting.
Provide support for records retention activities. Assist with maintaining employee human resource files. Respond to Public Information Requests (PIRs).
KEY QUALIFICATIONS
Experience using the Centralized Accounting and Payroll/Personnel Systems (CAPPS) Financials.
Experience with supporting a financial budget at office level.
