Position Overview
Leads assigned projects by coordinating resources, establishing timelines, monitoring progress, and ensuring deliverables meet established requirements. Facilitates communication among internal teams, business partners, and vendors to ensure alignment, resolve issues, and support successful implementation activities. Oversees project intake, organizes project information, and provides structured reporting and insights that support departmental decision making.
Essential Job Functions
- Lead assigned projects from planning through completion, ensuring deliverables meet scope, quality, and timeline expectations.
- Establish project schedules, milestones, and work plans in collaboration with internal teams and stakeholders.
- Direct project intake, requirements gathering, and documentation to ensure clarity and alignment across teams.
- Evaluate project risks, issues, and dependencies, and implement approved mitigation steps.
- Monitor project progress and resource utilization using project management tools and methodologies.
- Facilitate communication between internal teams, external vendors, and leadership by providing updates and clarifying project needs.
- Develop project scope statements and maintain project documentation, schedules, and process milestones for multiple projects.
- Coordinate procurement and vendor selection activities (e.g., RFP timelines and vendor evaluations) under established procedures for the Health & Employee Benefits Pool.
- Coordinate implementation activities for new groups, vendors, and products across the Pool, ensuring readiness of materials and tracking of onboarding tasks.
- Other duties as assigned.
Non-essential Job Functions
- Provide backup assistance to team members during absences or peak workloads.
- Perform routine data entry or reporting tasks that support departmental operations.
- Assist with research or benchmarking on project practices (e.g., pre mortem/post mortem approaches) to inform continuous improvement.
Experience/Education Requirements:
- Bachelor’s degree in business, project management, communications, or related field or equivalent work experience.
- Three (3) years of experience supporting or managing projects, including tracking tasks, schedules, and deliverables.
- Experience using project management tools (e.g., Asana, Monday.com, Jira, Smartsheet).
- PMP or similar credential preferred.
- Experience in health, benefits administration, or public sector programs.

- Foundational knowledge of project management methodologies and best practices.

- Skill in analyzing project information and identifying issues, gaps, or process improvements.
- Ability to build productive relationships with stakeholders and represent the department professionally.
- Proficiency with project management and data tracking applications; ability to escalate issues appropriately.
- Proficiency with standard office software and willingness to learn project support tools.
- Ability to work independently and maintain a high degree of accuracy.
- Strong customer service orientation and professionalism when interacting with staff, members, and vendors.
