Qualifications
Required Education and Experience
- Bachelor’s degree in applicable field or equivalent combination of education and experience.
- Six years of experience in event planning, hospitality management, or other related field.
- Bachelor’s degree in hospitality management, Event Planning, Business Administration, or a related field.
- Eight (8) or more years of progressively responsible experience in event services or conference operations, preferably in a higher education or large-scale institutional setting.
- Experience supervising teams, including full-time staff and student workers.
- Demonstrated experience with budgeting, billing, and vendor negotiations.
- Familiarity with university policies and procedures related to facility usage and liability.
- Ability to multitask and work cooperatively with others
- Ability to communicate effectively with stakeholders, including faculty, staff, students, and external partners.
- Proficient in event management platforms, scheduling tools, and Microsoft Office Suite.
- Ability to prioritize tasks, manage competing deadlines, and work independently.
- Demonstrated problem-solving skills and adaptability in a fast-paced environment.
- Knowledge of risk management and liability issues related to events.
Event Planning and Management
- Coordinates the full scope of event services, including reservations, scheduling, planning, service delivery, billing, and post-event evaluations.
- Manages and maintains the SPH events calendar and ensure timely and accurate updates.
- Oversees event setup logistics and manage event timelines and service schedules.
- Provides operational support to the Dean’s Office team during events and peak activity periods.
- Ensures compliance with university policies, including administration of insurance documents and waivers of liability.
- Performs other duties as assigned
- Designs, documents, and implements a comprehensive event strategy aligned with school goals.
- Develops event-related policies, procedures, and reporting mechanisms for internal and external stakeholders.
- Builds and maintains strong relationships with vendors and service providers to ensure quality and efficiency.
- Collaborates with internal units and external partners to support recruitment, retention, and school engagement efforts.
- Coordinates with the Office of Student Services (OSS) for integrated event planning that supports retention and recruitment initiatives.
- Supervises and trains event staff, setup crew, student workers, and part-time staff.
- Determines staffing needs.
- Oversees procurement of branded items and promotional materials
- Manages inventory
- Manages on-line SPH purchasing store.
