Qualifications
Required Education and Experience
- Bachelor's degree or equivalent combination of education and experience
- Two years of experience in office administration
- Class “C” vehicle operator’s license or ability to obtain within 30 days of employment
- Experience managing and ordering inventory
- Experience assisting with the coordination of events or programs
- Experience with web tools such as AggieBuy, LaserFische, Emburse, Teams, and OneDrive
- Proficient interpersonal skills to warmly and effectively engage with guests and partners
- Adaptability and flexibility to support shifting needs
- Skilled in general office procedures and administrative practices
- Able to multitask in a fast-paced environment
- Proficient in technology including email and calendar applications, Word, Excel, and Teams
Administrative Support
- Serves as the first point of contact for visitors, students, and community members, greeting guests and directing them appropriately
- Manages office reception responsibilities, including answering phones, responding to general inquiries, and routing messages
- Maintains organized office and storage spaces; ensures supplies, materials, and shared resources are stocked and accessible
- Oversees upkeep of the kitchen, workroom, and conference spaces to ensure they are tidy, welcoming, and functional
- Coordinates scheduling and logistics for internal office use of shared spaces, conference rooms, and equipment
- Prepares and organizes materials for meetings and events, including printing, copying, and assembling packets
- Monitors and orders office supplies
- Processes purchases and maintains accurate records of expenditures
- Handles incoming and outgoing mail and deliveries
- Provides general administrative support such as filing, scanning, document formatting, and maintaining electronic and physical records
- Supports onboarding logistics for new staff and student workers, including desk setup, office orientation, and access to shared systems
- Provides administrative and planning support for on program preparation, on-campus youth programs and the Symposium on Youth Engagement
- Manages the fulfillment process for the LevelUp Texas Club
- Assists with the updating of Office webpages including the Intranet, Office webpages, and the Aggie Camp Finder
- Maintains required risk-related documentation including the secure storage of waivers and other youth programming files on behalf of the office
- Develops and manages protocols for supply ordering and restocking of the workroom and other shared materials
- Purchases workroom and office supplies, including travel to and from stores to purchase
- Serves as departmental parking representative
- Assists with expense tracking and budget management
- Negotiates with vendors and manages contracts for office-related purchasing
- Coordinates with facilities staff on repairs, maintenance, and workspace needs
- Manages office access and keys on behalf of the office
- Assists Director with the creation of reports including data collection and reporting
- Assists Director with special projects as needed
- Reviews documents and assists Director with meeting preparation as needed
