Job Description

The Program Specialist I performs general office support for the Program Manager. This position will prepare, format and send correspondence, assemble and distribute materials, assist the Senior Program Manager with tasks related to symposia program, registration, and budget, review the accuracy of documents, maintain company files electronically and hard copy, assist with answering phones, and operate standard office equipment along with other duties as assigned by the Program Manager.

Responsibilities:

  • Responsible for online registrations, database entry, and all delegate registration correspondence. Serves as Symposia Registration Counter Coordinator in collaboration with Program Specialist & Program Manager. Maintain supplies in direct relation to registration.
  • Assist with completing tasks related to Symposia before during and after such as packing and unpacking supplies, set-up and take down of counter supplies, help with registration process, coordination of preparations, etc.
  • Directly support the Program Manager with budget and spending records for laboratory support, research and symposium accounts, and monthly/year-end accounts/expenditure balancing as required.
  • Assist Senior Program Manager in coordinating administrative support functions, supervising, training, and evaluating student workers.
  • Assists with unit or division level administration as needed by serving as unit records management coordinator and liaison between functional areas and outside units. Recommends and assists in implementation and auditing of unit procedures.
  • Provide support to Program Manager in program and advisory committee coordination & correspondence. Assists in the editing and upkeep of symposia program management in software, Aventri. Other support as assigned and not limited to: creating meeting documents, auditing files for distribution, creating and sending plaques for authors, author correspondence, proceeding collection, etc.
  • Perform duties similar to the above tasks in support of the Center’s activities beyond the main symposia throughout the calendar year.
  • Other duties as assigned.

  • Bachelor's degree or equivalent combination of education and experience.

What is helpful:

  • Experience event planning and customer service experience.
  • Microsoft Office Suite experience.

Knowledge, Skills and Abilities:

  • Strong interpersonal and communication skills.
  • Ability to organize effectively and meet deadlines.
  • Must be willing to travel to symposia yearly or when needed with the potential of travel increasing in frequency.

About The Turbomachinery Laboratory

The Turbomachinery Laboratory (Turbo Lab) conducts fundamental and applied research within three thematic areas: Rotordynamics and Mechanical Systems; Thermal Fluids and Combustion; and Computational and Modeling Design. This research is sponsored by a combination of government and industry sources, both domestically and internationally, through traditional grants and contracts and covers the entire range of specialties of the Turbo Lab research groups. The Turbo Lab’s acclaimed Turbomachinery and Pump Symposia (TPS) is held annually in Houston, Texas, and its sister event, the Asia Turbomachinery and Pump Symposium (ATPS), biennially in Kuala Lumpur, Malaysia.
