Position Summary
The Executive Director Specialist provides high-level administrative and operational support to both the Executive Director of School Leadership and the Executive Director of Curriculum, Instruction, and Professional Development. This unique position requires exceptional organizational skills, confidentiality, and the ability to balance multiple priorities while supporting two senior-level district leaders. The ideal candidate will be proactive, detail-oriented, and able to manage a fast-paced workflow that bridges leadership, instructional, and operational functions across departments.
Essential Duties and Responsibilities
- Provide executive-level administrative support to both Executive Directors, including scheduling, correspondence, document preparation, and meeting coordination.
- Manage and prioritize calendars, ensuring alignment between district initiatives and leadership responsibilities.
- Prepare, edit, and distribute professional correspondence, reports, agendas, and presentations.
- Coordinate logistics for meetings, professional development sessions, and district events, including communication with campus leaders and external stakeholders.
- Maintain confidentiality of sensitive information and ensure accuracy and professionalism in all communications.
- Track timelines and deliverables related to district improvement plans, instructional initiatives, and leadership projects.
- Assist in budget preparation, purchase order processing, and tracking of departmental expenditures.
- Serve as a liaison between departments to facilitate clear communication and timely responses.
- Support data collection, organization, and reporting as needed for instructional programs and leadership support.
- Perform other duties as assigned that contribute to the efficiency and effectiveness of district operations.
Qualifications
Education/Experience:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Minimum of three (3) years of progressively responsible administrative support experience, preferably in an educational setting or executive office environment.
Knowledge, Skills, and Abilities:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational and time management skills, with the ability to balance priorities between two executive-level supervisors.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a team-oriented environment.
- Professional demeanor, sound judgment, and discretion in handling confidential information.
- Exceptional attention to detail and accuracy in all work products.
