Position Summary

The Front Desk Administrative Assistant/Receptionist provides essential administrative and office support to ensure the efficient operation of the Orlando office. This role serves as the first point of contact for visitors and callers, managing front desk activities with professionalism and courtesy. The position requires excellent organizational skills, strong communication abilities, with a focus on exceptional customer service.

Essential Job Functions

  • Greet and welcome visitors in a professional and friendly manner; direct them to appropriate personnel or departments.
  • Answer, screen, and forward incoming phone calls; take and relay messages accurately.
  • Manage incoming and outgoing mail, packages, and deliveries; prepare shipping labels and schedule pickups.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Order and maintain office supplies and equipment; liaise with vendors for service and repairs.
  • Assist with travel arrangements and expense reporting for staff.
  • Support administrative tasks such as photocopying, filing, and binding; ensure copiers are refilled with paper each evening.
  • Ensure the reception area and conference rooms are clean, organized, and presentable at all times.
  • Restock and maintain the kitchen/breakroom supplies to ensure a clean and welcoming environment throughout the day.
  • Order and manage inventory of kitchen/breakroom supplies, including beverages and snacks.
  • Order meals for meetings and events; ensure proper setup, breakdown, and cleanup before, during, and after.
  • Prepare, package, and mail monthly service awards.
  • Format and produce technical documents, proposals, and other deliverables in electronic and hard copy format; combine edit, format, and bind large documents, including plan sets.
  • Proofread and edit documents for spelling, grammar, consistency, punctuation, word choice, and readability.

Required Qualifications

  • Proven experience as an administrative assistant and receptionist.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Pro.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional demeanor and appearance.
  • Ability to handle sensitive information with discretion.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent.

Preferred Qualifications

  • Some college experience

Physical Requirements

  • Remain in a stationary position for extended periods while performing desk and reception duties
  • Constantly operate office equipment such as computers, filing systems, and other productivity machinery requiring frequent use of hands and fingers
  • Frequently move or transport items weighing 10-15 pounds, such as office supplies, kitchen supplies, and packages. Occasionally move about the office environment to access supplies or equipment, including bending, reaching, and stretching.
  • Visual ability to detect details on computer screens, documents, and printed materials. C ommunicate effectively in person and via telephone to exchange information. Mobility to traverse the office as needed to support various tasks.
